Job Description

The Billing & Dispatch Executive is responsible for preparing accurate invoices, maintaining billing records, coordinating with internal teams, and handle the logistics. This role supports smooth dispatch operations and contributes to the company's revenue flow.

Jobs Responsibilities

1. Invoice Preparation & Processing

  • Prepare customer invoices accurately and on time.
  • Generate sales bills, service bills, or GST invoices a s applicable.
  • Verify all billing details such as rates, quantities, taxes, and discounts.

2. Documentation & Record Maintenance

  • Maintain billing records, ledgers, and customer account details.
  • Ensure proper filing o f invoices, supporting documents, and approvals.
  • Update billing data i n ERP o r accounting software.
  • Dispatch
  • Arrange & take care for logistic
  • Proper party wise delivery plan & loading.

4. Coordination & Communication

  • Coordinate with SCM, operations, and finance teams for billing inputs.
  • Handle billing-related queries and resolve discrepancies
  • Mail the information to customer which material send via transport
  • Compliance & Accuracy
  • Ensure billing compliance with company policies and GST rules.
  • Reconcile customer accounts and verify outstanding payments.
  • Identify and correct billing errors promptly.
  • Reporting
  • Prepare daily/weekly/monthly billing reports.
  • Plan daily/Weekly/monthly dispatch plan.
  • Update management regarding overdue payments and billing status.

  • Education: Graduation
  • Experience: 2+ years' experience.
  • Technical Skills: (Advance Excel/Google sheet with Pivot Table, VLOOKUP, Sum & If

formula

  • Soft Skills: Excellent communication, and interpersonal skills, Strong knowledge of MS
