CRM Department – Back Office Assistant (Real Estate)

Location: Kohinoor Luxuria, Kalyan East, Maharashtra
Job Type: Full-Time
Work Mode: In-Person
Salary Range: Up to ₹30,000 per month (depends upon experience and interview performance)

Job Summary

Responsible for all backend work related to CRM post-sales activities till possession. The Back Office Assistant will handle documentation, entries in the 4QT system, courier tracking, demand notes, ticket follow-ups, possession coordination, and other CRM backend responsibilities for Kohinoor Luxuria.

Key Responsibilities.

1. Documentation & Courier Handling

  • Print PRN documents, prepare dispatch packets, and maintain courier logs.
  • Track courier deliveries/returns and update records in Excel and system trackers.
  • Organize and maintain scanned and physical documents.

2. Booking & System Entries (4QT)

  • Enter Booking Form (BF) details in the 4QT system.
  • Handle rejected forms—prepare revised drafts and resubmit.
  • Update agreement details and ensure proper document flow.

3. Transfer & Cancellation Updates

  • Process transfer and cancellation entries in the 4QT system.
  • Coordinate with concerned teams for timely updates and accuracy.

4. Ticketing & Follow-ups

  • Raise support tickets through email and follow up till closure.
  • Maintain ticket IDs and coordinate with counters/CRM staff for resolutions.

5. Demand Notes

  • Prepare, print, scan, and courier demand notes.
  • Maintain accurate records of all demand note communications.

6. Possession Coordination

  • Follow up with the site supervisor regarding flat readiness for possession.
  • Coordinate with internal teams for possession updates and scheduling.
  • Upload Index II, cheque copies, and agreement copies in the 4QT system.

7. General Backend Administrative Support

  • Assist CRM & Sales teams with backend documentation and administrative tasks.
  • Maintain trackers and ensure timely system/data updates.
  • Support day-to-day operations of the CRM Department.

Skills Required

  • Strong communication and coordination skills.
  • Good knowledge of MS Excel and MS Word.
  • High accuracy in data entry and document management.
  • Basic understanding of real estate operations (preferred).

Qualifications

  • HSC or Graduate (B.Com / B.A preferred).
  • 1–2 years of experience in back office/administrative roles.
  • Experience in the real estate industry will be an added advantage.

Job Type: Full-time

Pay: ₹15,000.00 - ₹30,000.00 per month
