Associate Operations Manager - Global Exhibit Operations

Position Overview

The Associate Manager Exhibit Operations plays a critical role in planning, coordinating, and executing all operational aspects of exhibition projects. This role bridges the creative, production, and client-servicing teams, ensuring that exhibit stands, booths, and event setups are delivered on time, within budget, and to the highest quality standards. The candidate will be responsible for vendor management, site supervision, logistics coordination, quality assurance, and compliance with safety regulations.

Key Responsibilities

1. Project Planning & Coordination

• Assist in developing detailed operational plans for exhibition stand builds and installations.
• Collaborate with the design and production teams to align build feasibility with creative concepts.
• Prepare project timelines, task lists, and budgets in coordination with the project manager.

2. Vendor & Supplier Management

• Source, negotiate, and coordinate with fabrication vendors, printing agencies, AV suppliers, and other service providers.
• Maintain a database of approved vendors and monitor their performance.
• Ensure timely procurement of materials and equipment for each project.

3. Site Execution & Supervision

• Oversee on-site installation, dismantling, and logistics for exhibitions and events.
• Supervise fabrication quality, adherence to designs, and finishing standards.
• Coordinate with venue authorities, contractors, and client representatives during execution.

4. Quality & Compliance

• Conduct pre-dispatch quality checks of fabricated components.
• Ensure adherence to safety guidelines, fire safety norms, and venue regulations.
• Resolve on-site operational issues promptly to avoid delays.

5. Budget Control & Reporting

• Monitor operational expenses against the approved budget.
• Prepare post-event reports, including cost analysis and vendor performance reviews.
• Suggest cost-optimization strategies without compromising quality.

6. Team Collaboration

• Work closely with the creative, client servicing, and project management teams to ensure smooth execution.
• Support junior coordinators and technicians in their day-to-day tasks.
• Provide feedback for continuous improvement in operational processes.

Qualifications & Skills

Education:

• Bachelors degree in Event Management, Operations, Architecture, Interior Design, or related field.
• Diploma in Exhibition Design/Operations will be an added advantage.

Experience:

• 46 years of experience in exhibition stand operations, event production, or related fields.
• Hands-on experience in managing fabrication, installation, and dismantling of exhibition booths.

Technical Skills:

• Knowledge of fabrication techniques, materials, and installation processes.
• Understanding of technical drawings, layouts, and 3D renderings.
• Familiarity with project management tools and MS Office Suite.
