Job Description

Role Overview: As an Agency Officer, you will be responsible for the comprehensive management of port costs. This includes auditing Proforma Disbursement Accounts (DA), processing Final Vouchers, and screening related documentation. You will be allocated specific vessels or clients, where you will be fully accountable for the port calls assigned to you. Your role as a key player in operations involves ensuring timely and accurate management of port costs while maintaining effective communication with internal teams, external agents, and clients. Key Responsibilities: - Port Cost Management: - Take full ownership of the port cost management process, from auditing Proforma Disbursement Accounts (DA) to processing Final Vouchers, ensuring accuracy and compliance with company standards. - Scrutinize Proforma Disbursement Accounts (PDA), negotiate with agents to align costs with expectations and contractual terms. - Review nomination letters for adherence to fixture terms, address discrepancies with clients for clarifications. - Follow up with agents to collect missing details or documentation, ensuring timely submission of required information. - Process Final Disbursement Accounts (FDA), cross-check for accuracy with supporting documents, pass relevant rebill invoices to Claims and Administration teams. - SLA Compliance: - Meet internal and client-specific SLA timelines consistently, completing tasks efficiently. - Data Management: - Collaborate with the Master Data team to add new agents, bank account details, and vessels to the database, ensuring data integrity standards. - Tech-Savvy Approach: - Utilize digital tools for operational efficiency, multilingual tariff and invoice handling, and team performance enhancement. - Team Collaboration: - Foster a positive, collaborative work environment by engaging with team members, sharing ideas, and being open to feedback to contribute to collective growth and success. - Flexible Working Hours: - Role requires flexibility with working hours, including night shifts and weekend work as per team rosters. Qualification Required: - Bachelor's degree Experience & Skills: - 4 to 5 years of proven experience in Disbursement Accounting with attention to detail. - Excellent communication skills, proficient in reading, writing, and interpreting English. - Meticulous in auditing Disbursement Accounts for accuracy and compliance. - Capable of independent work, showing initiative and a proactive mindset. - Proficiency in Microsoft Word, Excel, and Outlook.,
