Accounts Receivable Executive

Job Title: Accounts Receivable & Dispatch Coordinator

Role Purpose

Ensure accurate and timely collection of distributor payments, maintain strong credit discipline, and manage end-to-end dispatch operations including invoicing, coordination with transporters, and e-way bill generation.

Key Responsibilities

A. Accounts Receivables Management

1. Track outstanding payments for all distributors across regions.
2. Follow up daily with distributors on pending dues via phone, WhatsApp, and email.
3. Reconcile distributor accounts with billing, collections, debit/credit notes.
4. Coordinate with sales team for overdue escalations.
5. Maintain daily AR ageing reports and submit to management.
6. Verify that payments match invoice values before dispatch release.

B. Dispatch & Logistics Coordination

1. Plan daily dispatches based on sales orders and inventory availability.
2. Prepare and verify invoices, packing lists, and dispatch documentation.
3. Coordinate loading schedules with warehouse and transporters.
4. Ensure dispatch timelines are met and communicate delays proactively.
5. Track shipments until delivery confirmation from transporter or distributor.

C. E-Way Bill & Compliance

1. Create and manage e-way bills in the GST portal for all outward shipments.
2. Verify HSN codes, tax rates, vehicle details, and validity of e-way bills.
3. Maintain digital and physical records for GST audit readiness.
4. Monitor expiry and renew e-way bills during transit if required.

D. Reporting & Documentation

1. Update daily dispatch logs and payment collection dashboards.
2. Maintain complete documentation for billing, freight, and returns.
3. Provide weekly business intelligence summaries to management.

Key Skills Required

Technical Skills

• Strong knowledge of AR processes and reconciliation
• MS Excel (VLOOKUP, pivot tables)
• ERP or billing software experience (Tally, Marg, Busy, Zoho, etc.)
• GST e-way bill portal operation
• Basic understanding of logistics and dispatch operations

Qualifications & Experience

• Bachelors degree in Commerce, Business, or Logistics
• 4 years of experience in FMCG, Food, or Consumer Products
• Experience with distributor collection
