Role Overview We’re looking for an experienced Event Operations Manager to lead the end-to-end execution of our corporate events and experiences. The ideal candidate will bring a deep understanding of venue management, vendor coordination, onsite logistics , and event budgeting , with a high attention to detail in managing seamless B2B events across formats and regions. This is a pivotal role requiring strong multitasking, cross-team coordination, and problem-solving skills. Key Responsibilities Event Planning & Execution • Plan and manage the end-to-end execution of physical and hybrid events including summits, workshops, CXO roundtables, residential offsites, exhibitions, product launches, and networking dinners. • Lead venue research, evaluation, and booking across cities (e.g., Delhi, Mumbai, Bangalore, Hyderabad, Pune, etc.) based on event requirements. • Coordinate with venues on layout, compliance, seating, signage, catering, parking, etc. Vendor & Logistics Management • Source, evaluate, and manage multiple vendors for: o AV (sound, screen, lighting) o Stage/venue setup o Fabrication & branding o F&B/catering o Photography & videography o Gifting & printing • Negotiate costs, manage timelines, and ensure quality delivery from all vendors. Creative Execution & Branding • Collaborate with the design team to translate event branding and signage plans into reality across venue touchpoints (registration desks, stage, photo wall, digital screens, tent cards, kits, etc.) • Ensure all creatives are delivered and installed as per branding guidelines and timelines. Cross-Team Coordination • Work closely with the sales, editorial, design, and marketing teams to align on event agenda, speaker formats, session flow, audience engagement points, sponsor deliverables, and content integration. • Help integrate feedback loops and improve event operations efficiency through SOPs. Onsite Management • Take ownership of event-day execution —from setup to breakdown. • Lead all onsite teams (vendors, staff, volunteers) to ensure smooth check-in, speaker transitions, session timing, tech operations, audience management, and issue resolution. • Act as the primary onsite escalation point. Budget & Profitability • Manage overall event budgets and expenses , ensuring cost-efficiency and high quality execution. • Work with internal stakeholders to ensure that each event is executed within budget and is highly profitable , meeting financial targets set for the initiative. Post-Event Coordination • Support in collating event photography, feedback, and post-event documentation . • Assist in preparing event recap decks for clients and internal teams. Desired Candidate Profile • 5–8 years of experience in corporate event operations , ideally in a B2B setting. • Demonstrated experience in executing CXO-level conferences, offsites, expos, or industry summits . • Strong understanding of venues and vendors across India’s key metro cities. • Excellent project management and coordination skills ; deadline-oriented. • Strong vendor negotiation and budget management capabilities. • Willingness to travel for events and work flexible hours during peak event periods. • Proficiency in MS Excel, Google Sheets, and basic project management tools. • A problem-solver with a calm, practical, and solutions-driven mindset. Nice to Have • Experience working in a media, agency, or IP-led event environment. • Familiarity with design software or creative briefing tools (e.g., Canva, Figma) is a plus. • Prior experience with hybrid/virtual event platforms and tech. Requirements: ● 5 to 8 years of experience in B2B media sales, sponsorship sales, and content-driven brand solutions. ● Proven track record in event sponsorship and client relationship management. ● Strong negotiation and deal-closing skills. ● Ability to work independently, manage multiple accounts, and meet deadlines. ● Proficiency in MS PowerPoint and Excel is a must. ● Willingness to travel across India regularly for client meetings. ● Excellent communication, presentation, and interpersonal skills. ● Experience in GTM strategy or product positioning is a plus. Preferred Qualifications: ● Background in working with media houses, digital publications, or event management companies. ● Understanding of the tech and enterprise ecosystem in India.
