Job Description

The Tender Coordinator will be responsible for managing the end-to-end tendering process, from invitation to tender (ITT) to final submission. This role requires strong attention to detail, cross-functional collaboration, and the ability to ensure timely, accurate, and compliant submissions. The candidate will work with sales, procurement, finance, and project teams to deliver high-quality bids aligned with company standards and client requirements.

Key Responsibilities

Tender Management

  • Review and analyze tender documents to identify project requirements, submission details, and deadlines.
  • Manage the entire tendering process from document preparation to final submission.
  • Schedule and coordinate meetings with stakeholders to align on strategies and responsibilities.

Documentation & Submission

  • Prepare, edit, and proofread technical, commercial, and financial documents.
  • Ensure compliance with client requirements and company standards.
  • Handle document formatting, binding, and submission as per deadlines.

Collaboration & Communication

  • Liaise with sales, project managers, finance, legal, and procurement teams for input.
  • Organize bid strategy meetings and provide updates on progress.
  • Communicate with clients/procurement contacts for clarifications.

Compliance & Quality Assurance

  • Ensure submissions meet regulatory, legal, and client-specific requirements.
  • Maintain high quality standards in document formatting, consistency, and presentation.

Tracking & Reporting

  • Maintain a tender register to track submission status and deadlines.
  • Report win/loss ratios and client feedback for process improvement.
  • Analyze tender outcomes to refine strategies and best practices.

Post-Tender Activities

  • Coordinate clarifications, debrief sessions, and lessons-learned meetings.
  • Capture insights to enhance future tender submissions.

Qualifications & Skills

  • Graduate in Business/Management/Commerce or equivalent.
  • 2–5 years’ experience in tendering/e-tendering/Govt. bidding.
  • Proficiency in tender portals, MS Office, and documentation standards.
  • Strong communication skills (Hindi & English preferred).
  • Detail-oriented with excellent organizational and time management abilities.

Job Type: Full-time

Pay: ₹120,000.00 - ₹400,000.00 per year
