Job Description

Job Purpose:

To manage procurement and inventory operations in the hospital by ensuring timely and cost-effective purchasing of medical and non-medical supplies, maintaining accurate stock levels, vendor management, and adherence to hospital procurement policies.

Key Responsibilities:

1. Purchase Management:

Identify hospital needs and coordinate with departments for purchase planning.
Float tenders, compare quotations, and select vendors based on quality, price, and delivery timelines.
Negotiate contracts and terms with vendors and ensure cost-effective procurement.
Maintain a database of approved vendors and products.

2. Inventory Management:

Supervise receipt, storage, and issuance of medical and non-medical items.
Maintain optimal inventory levels to avoid stockouts or overstocking.
Conduct regular physical stock verification and reconciliation.
Ensure proper storage conditions for different categories of materials (especially temperature-sensitive items).

3. Compliance and Documentation:

Maintain purchase records, GRN (Goods Receipt Note), purchase orders, and invoices.
Ensure compliance with internal financial controls, NABH/NABL requirements, and audit standards.
Coordinate with the accounts department for timely vendor payments.

4. Vendor and Supplier Management:

Develop and maintain good relationships with suppliers.
Monitor vendor performance regarding quality, delivery, and service.
Identify new suppliers and alternative products for cost-saving initiatives.

5. Team Management:

Lead and manage the purchase and store staff effectively.
Provide training to team members on inventory software and procurement protocols.

Key Skills and Competencies:

Strong knowledge of hospital materials and medical equipment.
Good negotiation and communication skills.
