We are growing as a design firm and looking for an administrative partner who will become part of our office and help in shaping the culture over long term goals.

Role Description

This is a full-time role located in Mumbai for a Secretary cum Administrative Assistant.

We are looking for an administrative assistant, office general manager and personal secretary. Our firm is small (consisting of 6-8 people) at various times and the above roles can overlap.

The job description includes the following

  • providing administrative assistance, managing phone communication, handling executive administrative tasks, and performing clerical duties.
  • ensuring smooth office operations, coordinating schedules, and assisting with various administrative tasks to support the team effectively.
  • making invoices & managing basic accounts
  • calendar management
  • project management systems, SOPs (systematic operating procedures), online folder management
  • general research for products, comparison quotes and coordinating with vendors for product information and follow-ups
  • new joinee training & induction in the office systems.
  • personal secretary to partners

We work from Monday to Friday, 10am-7pm and have a hybrid system of work from office and home depending on partners travel plans.

We would prefer if the candidate has a laptop since carrying it on local transport becomes a hassle. (However, this is negotiable).

Salary will depend on skillset and clarity in the tasks assigned in the interview.We will be providing a range between 2.5 - 3.5 lakhs annually.

Qualifications

  • Administrative Assistance and Executive Administrative Assistance skills
  • Phone Etiquette and Communication skills
  • Clerical Skills for managing office tasks
  • Strong organizational and time-management abilities
  • Proficiency in MS Office and other relevant software
  • Ability to work independently and collaboratively
  • Prior experience in a similar role is a plus
  • High school diploma or equivalent; additional qualifications in office administration are a bonus
