Sales & Quotation Coordinator

We are looking for a proactive and highly organized Sales & Quotation Coordinator to manage the critical intersection of customer service and technical estimation. This role requires a unique blend of "soft skills" for client communication and "hard skills" for data management within our ERP system.

The ideal candidate is someone who can engage a lead over the phone, understand their requirements, and immediately translate that conversation into a professional, accurate quote.

Role Summary

As a Sales & Quotation Coordinator, you will be the first point of contact for many of our clients. Your goal is to provide a seamless "Inquiry-to-Order" experience. You will handle inbound sales calls, qualify customer needs, and use our ERP platform to generate, send, and follow up on commercial proposals.

Key Responsibilities

1. Sales Communication & Client Relations

  • Inbound/Outbound Calls: Act as the primary contact for telephone inquiries, providing product information and pricing overviews.
  • Consultative Selling: Ask probing questions to understand the customer’s project scope and recommend the correct products or services.
  • Lead Qualification: Filter inquiries to ensure they meet the company’s target profile before moving to the formal quoting stage.

2. ERP Quotation Management

  • Drafting Proposals: Prepare detailed quotations [, e.g., NetSuite, SAP, Microsoft Dynamics, ERP etc.], ensuring all line items, quantities, and terms are correct.
  • Margin Management: Apply authorized discount levels and calculate profit margins to ensure quotes align with company profitability goals.
  • CRM Maintenance: Update the ERP/CRM module with call notes, follow-up dates, and the current status of the sales funnel.

3. Follow-up & Closing

  • Proactive Follow-up: Call customers to review sent quotes, answer technical questions, and overcome objections.

Required Skills & Qualifications

  • Communication: Excellent verbal communication skills with a professional "phone personality."
  • ERP Experience: Minimum 1–2 years of experience using an ERP system (Sales or CRM modules).
  • Technical Aptitude: Ability to quickly learn a complex product catalog to provide accurate advice to callers.
  • Resilience: Comfortable with making follow-up calls and handling "no" from prospective clients.

Performance Indicators (KPIs)

  • Response Time: Turning a phone inquiry into a digital quote within stipulate time frame.
  • Quote Accuracy: Zero-error rate in pricing and part numbers within the ERP.
  • Call Volume: Maintaining a consistent daily volume of outbound follow-ups.

Job Type: Full-time

Pay: ₹20,000.00 - ₹35,000.00 per month
