Job Responsibilities
1. Sales Invoicing & Billing:
a) Prepare, verify, and process invoices for export and import shipments based on finalized
quotations and job files.
b) Ensure accuracy in billing details, such as freight charges, surcharges, currency, and
applicable taxes.
c) Coordinate with the operations and sales teams to confirm shipment details before
invoice generation.
d) Maintain and update records of all invoices and supporting documentation in the
ERP/HRMS system.
e) Issue credit/debit notes and ensure all adjustments are approved and documented.
2. Coordination with Operations & Finance:
a) Liaise with the finance and accounts department for timely posting and reconciliation of
invoices.
b) Follow up with clients for payment-related clarifications and assist in resolving billing
discrepancies.
c) Coordinate with overseas agents and partners for cost confirmation and settlement of
accounts.
d) Ensure accurate cost allocation for each job file to maintain profitability reports.
3. Compliance & Documentation:
a) Ensure all invoicing complies with company policies, accounting standards, and statutory
requirements (GST, TDS, etc.).
b) Maintain a strong record of all commercial documents, including job files, contracts, and
rate sheets.
c) Cross-check vendor and customer documentation for compliance with audit
requirements.
d) Support the finance team during internal and external audits by providing necessary
billing information.
4. Reporting & Analysis:
a) Prepare daily, weekly, and monthly reports on invoicing status, outstanding payments,
and revenue.
b) Track client-wise billing patterns and highlight discrepancies or unusual trends to
management.
c) Provide insights into billing accuracy, process improvements, and revenue leakage
control.
d) Support the team in maintaining KPI reports related to billing turnaround time and
accuracy.
Preferred Candidate Profile
1. Education: Bachelor’s degree in Commerce, Accounting, Logistics, or a related field.
2. Experience: 2+ years of hands-on experience in sales invoicing or documentation within
the freight forwarding or logistics industry.
3. Technical Skills:
a) Proficient in MS Office (Excel, Word) and ERP/accounting systems.
b) Knowledge of freight forwarding operations, billing processes, and logistics
documentation.
4. Soft Skills:
c) Strong attention to detail and numerical accuracy.
d) Excellent coordination and communication skills.
e) Ability to work under tight deadlines and manage multiple billing requests
simultaneously.
5. Basic understanding of international trade terms (INCOTERMS) and shipping
documentation (BL, AWB, invoices, packing lists).
Job Type: Full-time
Pay: ₹10,000.00 - ₹20,000.00 per month
