Position: Receptionist/Front Desk Executive

Location: Mohali, Punjab

Role Description
To serve as the first point of contact for parents, students, visitors, and candidates, managing all front desk operations efficiently while ensuring effective communication and coordination with school departments.

Key Responsibilities:

  • Front Desk & Telephonic Duties:
  • Handle incoming calls related to early leave requests, sick students, bus service queries, and general school information.
  • Provide accurate information on school timings, admission process, fee structure, and transport fees.
  • Attend to all walk-in parents, visitors, and candidates courteously and professionally.
  • Ensure no visitor is left unattended; maintain a welcoming front desk environment.
  • Student & Parent Coordination:
  • Issue gate passes for early leave or sick students after verifying permissions.
  • Hand over pending notebooks or materials to students.
  • Relay messages from parents to students or teachers promptly and accurately.
  • Admissions Support:
  • Handle queries related to new admissions; share admission forms and explain procedures.
  • Verify documents submitted with admission forms; attach required documents.
  • Follow up with parents for pending documents.
  • Issue and collect registration forms, provide test papers to new applicants, and coordinate with teachers for test evaluations.
  • Certificate & Document Handling:
  • Manage the issuance of Transfer Certificates, Character Certificates, and other student records.
  • Administrative Duties and Internal Co-ordination:
  • Maintain the visitor register and gate pass records.
  • Keep track of all admission-related documents and certificates.
  • Ensure the reception area is organized and fully stocked with necessary materials.
  • Monitor and report any irregularities or concerns at the reception area.
  • Attend to candidates called by HR for interviews.
  • Issue and collect application forms, accept resumes, and hand over profiles to the HR department.
  • Coordinate with academic and admin staff for smooth flow of communication.
  • Work closely with transport in-charge, teachers, and school office to support daily operations.

Required Qualifications:

  • Graduate in any discipline (Arts, Commerce, or Science).
  • Minimum 3 years of experience in a front office or receptionist role; experience in an educational institution preferred.
  • Proficient in MS Office, email handling, and basic administrative tools.
  • Good command over English
