We are looking for a well-organized Administrative Executive / Front Desk professional to join our team. As the first point of contact for visitors and clients, you will play a vital role in creating a welcoming and professional environment. This position involves a mix of front desk management, administrative support, and customer service to ensure smooth day-to-day office operations.
You will also assist in showcasing products at our Experience Centre, coordinate internal and external meetings, and support staff with various administrative tasks. The ideal candidate should have excellent communication skills and the ability to multitask efficiently.
Welcome guests and clients upon arrival and direct them to the appropriate personnel or department.
Manage front desk operations including phone calls, emails, and courier/package handling.
Provide administrative and clerical support to internal teams as required.
Perform general office duties such as filing, photocopying, scanning, and maintaining records.
Schedule and manage appointments, meetings, and calendar invites.
Assist in the preparation of regular reports and documents.
Maintain and order office supplies to ensure smooth workflow.
Handle general inquiries and route them appropriately.
Maintain confidentiality of sensitive information.
Coordinate meeting room bookings and assist in setting up for meetings and presentations.
Support events, client presentations, and guided tours at the Experience Centre.
Ensure an excellent client and visitor experience, from entry to exit.
Manage annual event listings and communications related to events.
Assist with on boarding and exit formalities for employees.
Proficient in Microsoft Office Suite (Word, Excel, Outlook).
Excellent verbal and written communication skills.
Professional appearance and customer-focused attitude.
Strong multitasking and time-management skills.
Ability to maintain confidentiality and handle sensitive situations with discretion.
Bachelors degree in any discipline.
1-3 years of relevant work experience.
Strong organizational skills and keen attention to detail.
