Purchase Executive

Job Summary

We are looking for an experienced Purchase professional for our pharmaceutical manufacturing company. The candidate will be responsible for sourcing pharmaceutical raw materials, packaging materials, and other required items, vendor development and qualification, price negotiation, purchase order management, and ensuring timely procurement while maintaining quality and regulatory requirements.

Role & responsibilities

1. Purchase & Procurement

• Handle end-to-end procurement of pharmaceutical raw materials, packaging materials, and other required items.
• Prepare and release purchase orders as per approved requirements.
• Ensure timely availability of materials according to production and inventory requirements.
• Coordinate with internal departments to understand material specifications and purchase requirements.

2. Vendor Development & Qualification

• Identify, evaluate, and develop new vendors and suppliers.
• Coordinate vendor qualification and approval in consultation with QA/QC and other relevant departments.
• Maintain an approved vendor list and vendor-related documentation.
• Monitor vendor performance in terms of quality, price, delivery, and service.

3. Technical Documentation & Compliance

• Basic understand and review DME (Drug Master File/Drug Master Documentation, as applicable), COA (Certificate of Analysis), and MOA (Method of Analysis).
• Coordinate with QA/QC for technical documents and material specifications.
• Ensure the availability of required quality documents for pharmacopeial and non-pharmacopeial materials.
• Follow company procurement procedures and applicable pharmaceutical quality requirements.

4. Vendor Search & Selection Criteria

• Search for suitable vendors based on:
• Distance and location
• Price and commercial terms
• Lead time and delivery commitments
• Quality standards and documentation
• Compare quotations and negotiate prices to achieve cost-effective procurement.
• Evaluate alternative suppliers to ensure uninterrupted material availability.

5. Coordination & Reporting

• Coordinate with Production, QA, QC, Stores, Accounts, and other relevant departments.
• Track purchase orders, pending deliveries, and material shortages.
• Maintain purchase records, quotations, comparative statements, and vendor databases.
• Prepare purchase-related MIS reports as require

Preferred candidate profile

• Graduate in a relevant discipline; a science or pharmacy background will be preferred.
• 34 years of experience in purchase/procurement, preferably in the pharmaceutical industry.
• Knowledge of pharmaceutical raw materials, packaging materials, and vendor qualification.
• Understanding of COA, MOA, and pharmacopeial/non-pharmacopeial materials.
• Good negotiation, communication, vendor-management, and coordination skills.
• Proficiency in MS Excel and purchase-related documentation
