Role Overview
Process Developer
Key Responsibilities
1. Process Design & Documentation
- Create and update Standard Operating Procedures (SOPs), workflows, checklists, templates, and process maps for all shelter and administrative activities.
- Consolidate tribal knowledge and translate into
repeatable processes
. - Establish audit-ready documentation formats to ensure consistency and accountability.
- Maintain a centralized repository for all process documents and version control.
2. Process Implementation & Training
- Train staff on newly developed or revised processes and ensure successful onboarding into daily practice.
- Conduct practical walkthroughs with shelter teams, veterinary teams, and office teams to confirm process clarity.
- Develop multilingual or simplified versions of SOPs for staff where required.
3. Continuous Improvement & Monitoring
- Identify inefficiencies, bottlenecks, duplication of effort, and operational gaps.
- Track process adherence through periodic audits and feedback loops.
- Recommend improvement actions using data insights, incident reports, and operational observations.
- Monitor outcomes of implemented processes and measure impact.
4. Compliance & Risk Management
- Ensure processes comply with internal policies, welfare standards, veterinary protocols, safety regulations, and statutory norms.
- Maintain records and documentation supporting audits, certifications, and donor due-diligence requirements.
5. Cross-Department Coordination
- Collaborate with different functional leaders (Veterinary Care, Rescue, HR, Finance, Operations, Donor Relations, Digital Marketing) to map workflows and align priorities.
- Act as a support link between field teams and management for operational clarity.
Key Deliverables
- Updated master list of processes/SOPs with version control
- Monthly process audit reports & actionable recommendations
- Process training sessions with attendance logs
- Before-after analysis of improvements (time saved, errors reduced, productivity increased)
- Standardized templates/checklists for recurring tasks
Skills & Competencies
- Strong analytical & problem-solving skills
- Excellent documentation & writing abilities
- Process mapping (e.g., flowcharts, swimlanes, checklists)
- Ability to break down complex work into structured steps
- Time management & organizational skills
- Communication skills for multi-level staff interaction
- Change management mindset; ability to drive adoption
Preferred Experience & Background
- 2-5 years experience in process development, quality assurance, operations, or business process improvement
- Experience with SOP creation, process mapping, or ISO-style documentation
- Exposure to NGOs, healthcare, veterinary operations, or manufacturing is a plus
- Experience with project management or continuous improvement frameworks (Lean, Six Sigma, Kaizen) is an advantage
Qualifications
- Bachelor's degree in Business Administration, Operations, Industrial Engineering, Animal Science, or related field
- Certifications in Lean/Six Sigma or process improvement (preferred, not mandatory)
