Job Description

Job Description: We are seeking a proactive and detail-oriented Personal Assistant to handle administrative, financial, and logistical support. In this role, you will be the "glue" that keeps our team and operations running efficiently. You will manage daily reporting, coordinate staff travel, and maintain preliminary financial records.

Key Responsibilities:

  • Meeting Management:
  • Schedule and coordinate internal and external meetings.
  • Prepare agendas, take minutes, and follow up on action items to ensure deadlines are met.
  • Manage calendar conflicts and ensure the executive is prepared for all engagements.
  • Team Coordination:
  • Act as the primary point of contact between the executive and internal teams.
  • Facilitate communication across departments to ensure projects stay on track.
  • Assist in organizing team events and off-site workshops.
  • Daily Report Management:
  • Collect data from various departments to compile and submit daily operational reports.
  • Monitor key performance indicators (KPIs) and highlight any irregularities.
  • Maintain an organized digital filing system for all reports and documentation.
  • Book Maintenance (Bookkeeping):
  • Maintain accurate financial records and ledgers.
  • Track daily expenses, manage receipts, and prepare expense reports.
  • Assist with basic invoicing and reconciliation tasks as needed.
  • Staff Travel Management:
  • Plan and book comprehensive travel arrangements for staff (flights, hotels, transportation).
  • Create detailed travel itineraries and ensure compliance with the company travel policy.
  • Handle any last-minute travel changes or emergencies.

Requirements:

  • Proven experience as a Personal Assistant, Executive Assistant, or Office Manager.
  • Strong organizational skills with the ability to multitask and prioritize daily workload.
  • Proficiency in MS Office (Excel, Word, Outlook) and basic bookkeeping software (e.g., QuickBooks, Xero) is a plus.
  • Excellent verbal and written communication skills.
  • Experience in travel logistics and itinerary planning.
  • Discretion and confidentiality with sensitive information.

Job Type: Full-time

Pay: ₹15,000.00 - ₹20,000.00 per month
