Job Description

The Operations & Purchase Executive will be responsible for managing daily operational and procurement activities to ensure smooth material flow, accurate documentation, and timely vendor and client coordination. This role involves handling purchase orders, material dispatches, inventory updates, and payment follow-ups within the process and industrial automation domain.

Key Responsibilities:

  • Email Management: Check and respond to all operational and purchase-related emails promptly.
  • Task Entry: Create and update N-tasks for new intents and purchase updates in the internal system.
  • Purchase Orders: Prepare, process, and maintain all Purchase Orders (POs) accurately.
  • Proforma Invoice Handling: Prepare proforma invoices, send to clients/vendors, and follow up for confirmations.
  • PTS (Project Tracking Sheet) Update: Ensure daily updates for order status, dispatch details, and payments.
  • Material Dispatch: Coordinate material dispatch, book logistics, maintain dispatch registers, and ensure box labeling/stickering.
  • Payment Updates: Record payment details and updates in the N-task comment box.
  • Deposit & Payment Management: Release all deposits and update payment lists with proper follow-ups.
  • Cheque Handling: Manage cheque deposits and maintain proper records.
  • Office Vehicle Management: Oversee usage, scheduling, and maintenance of office vehicles.
  • Warranty Handling: Manage warranty claims, replacements, and documentation.
  • Stock Inventory Update: Conduct and update weekly stock inventory reports to ensure material accuracy and availability.
  • Compliance & Reporting: Support annual return filing for company operations (e.g., Adds Value returns).
  • Inter-Branch Coordination: Manage Pune/Kochi stock movement and ensure proper documentation and tracking.

Qualifications & Skills

  • Bachelor’s degree in Commerce, Supply Chain, Industrial Engineering, or Business Administration.
  • 1–3 years of experience in operations, procurement, or supply chain, preferably in an automation or industrial sector.
  • Strong knowledge of purchase processes, vendor management, and logistics coordination.
  • Proficiency in MS Office (Excel, Word) and familiarity with ERP or task management systems.
  • Excellent communication, coordination, and follow-up skills.
  • Attention to detail, organizational skills, and ability to handle multiple tasks efficiently.

Job Types: Full-time, Permanent

Pay: ₹18,000.00 - ₹25,000.00 per month
