Position Overview:
The Office Administrator will be responsible for ensuring smooth day-to-day operations of the office by managing administrative tasks, coordinating office services, maintaining records, and supporting staff. The ideal candidate is organized, detail-oriented, and has strong communication and multitasking skills.
Key Responsibilities:
· Oversee daily office operations, ensuring cleanliness, organization, and maintenance
· Handle procurement of office supplies and inventory management
· Maintain office records, staff attendance logs, and filing systems (both physical and digital)
· Coordinate with vendors, housekeeping, security, and maintenance service providers
· Assist in organizing meetings, events, travel, and logistics for staff
· Support HR and Finance teams with documentation, asset tracking, and office-related compliance
· Monitor incoming calls, emails, and visitors and manage front office duties (if applicable)
· Ensure office equipment is well-maintained and report issues for repair/replacement
· Support onboarding of new employees by preparing workstations and access cards
Qualifications & Skills:
· Bachelor’s degree in Business Administration or any relevant field
· 2–4 years of proven experience in office administration or facility coordination
· Proficient in MS Office (Word, Excel, Outlook)
· Strong organizational and problem-solving skills
· Good verbal and written communication
· Ability to work independently and manage multiple tasks effectively
Preferred Attributes:
· Experience working in NGOs, educational institutions, or multi-department organizations
· Familiarity with asset management or administrative software
· Basic understanding of HR and accounting processes is a plus
