Company overview Job Title Internal sales coordinator Band/ Grade Level Job Family Division Location Ahmedabad Department Production Reporting to Director/ Production Manager Role Summary The role is responsible to ensure smooth sales operation from enquiry, roll receipt till dispatch by coordinating across teams like Production, sales, accounts, dispatch and hence is responsible for timely responses to the customer. Roles & responsibilities KRA 1 Sales Support Responsibilities * Generates quotations and submit to customers within 24 hrs against enquiries received through email, telephone, Sales Executives, etc. * Coordinates with Clients on phone and through email for status of rolls, payment, any other queries and discrepancies. * Handles the processing of all orders with accuracy and timeliness through calls/ emails, ensures timely communication within internal departments in case of change in customer specifications and drives it to completion. * Ensures that all the sales operations are executed with agreement to the procedures of approvals and recognition. * On receipt of order, verifies the payment terms, address, negotiations, discounts, tax structure, and give acceptance of order and file the same. * Assists the sales team, focusing mostly on managing schedules and the distribution of any sales documentation. * Helps in managing sales contracts. * On receipt of payment from customer, follows-up with Production for delivery. * Ensures timely submission of government tenders. * Coordinates with Production Department to handle customer queries. * Coordinates with sales team by managing schedules, filing important documents and communicating relevant information. * Provides the rate confirmation including repairing and packing charges to customers within 4 days of receiving rolls. * Forwards L/R to Accounts for making transporter payments after making necessary entries in Roll register. KPI 1. Timely and accurate placement of customer orders. 2. Minimum TAT for customer querries. KRA 2 Reporting & Data Entry Responsibilities * Generates Pro-forma invoices & sends it to the client & salesman with office copy on unit heads table within 48 hours of completion of vulcanizing process. * Generates report for pending rolls without process & with process & informs the production team. * Data entry of new rolls quotation, rubber covering and rate confirmation. * Data entry of purchase orders for new rolls, recoating, first coating, grinding etc. * Performs the job card and purchase order data entry. Preparation of the Job Card that is to be made within 96 hours of receiving rolls. * Works with other departments within the company to bring in additional help on creating sales presentations when needed. KPI 1. Error free data entry and documentation 2. Timely and accurate reporting KRA 3 Client Management Responsibilities * Ensures timely collection of pending Form Cs, follows up with payment against the Performa and also on all outstanding payments. * Provides necessary information related to the client on different available products. * Convinces the customer from higher discount % to lower % by explaining the property of the cover. * Communicates effectively with customer to unforeseen delays or problems, handle urgent requirements, payment follow-ups & outstanding payments. * Submits rate contracts to clients. * Provides dispatch details to client for insurance. * Prepares and then follows up on any sales quotations made for clients, negotiating terms with the client at a cost best suited for them. KPI 1. Timely clsoure of outstanding payments 2. Management of discounts within limits KRA 4 Technical Correspondence Responsibilities * Handles the collaboration with the foreign team by managing the technical correspondence. * Handles any other generic correspondences supporting business. * Extends support to prepare the production plan and offers for Blankets. KPI 1. On time completion of assigned tasks Qualification Graduate Span of Experience 3+ years Technical Competencies • Learnability • Communication Skills • Negotiation Skills • Knowledge of Computer • Knowledge of Customer products (To be imparted through internal training) • Knowledge of Rubber product specifications (To be imparted through internal training) • Knowledge of Production Process Role & responsibilities Preferred candidate profile
