International Sales Coordinator

Role & responsibilities

Solely responsible for all Sales Coordination work for all the Group Companies starting from Order Form, Dispatch, Delivery and Payments.

Business Execution:

• Maintaining all the Order Forms received from the team in SAP/CRM
• Maintaining records for Contract Review matters.
• To ensure customer order is reviewed and clarified for:
• Documentation of customer requirement and clarity
• Any deviation from the contract is resolved.
• Companys ability to meet the entire contractual requirement.
• To review amendment to contract and transfer it to customer as well as Works Head and maintain records to this effect.
• To maintain all records of marketing and contract review.
• Mainly responsible to coordinate with Plants and EXIM for the dispatch of Finished Goods.

M.I.S:

• Collect data from all Managers from International Marketing on day to day basis.
• Prepare the M.I.S reports with reference to Sales Forecast, Dispatch planned versus achieved and Collection Forms.
• Collate data for weekly/ monthly individual as well as for team.
• Account reconciliation of customers including various tax forms and Debit/ Credit Notes.
• Prepare for monthly presentation.

ISO/ TS:

• Maintain all records as per ISO/ TS norms like Feasibility Study, Order Form Delivery Rating, Customer Feedback, Satisfaction Survey etc as per schedule.
• Facing internal as well as external ISO/ TS Audits.

Preparing for Trade Fair:

• Maintaining the check list for all approved exhibitions ensuring all applications and timeline of the event are met.
• Coordinate with RMs, plant, logistics, branding team for all trade fair related matters.
• Ensuring availability of brochures/ literatures/ visiting cards/ stationery and other related items for Trade Fair visits.
• Buying and packing gifts for clients.
• Filing/ Maintaining record of visiting cards collected during exhibitions.
• Arranging Samples for the exhibition.
• Payments related to Trade Fairs/Marketing activities.
• Maintain the expenses/Budget report of trade Fairs.

Coordination with other departments:

• Communicating with EXIM for Logistics.
• Follow up with Plant for technical feasibility, status of order and dispatch.
• Coordination with Purchase for special customer requirements and vendor registrations.
• Coordinating departmental and interdepartmental meetings.
• Preparing, circulating and following up on the MOM for all meetings.

Coordination with Customer:

• Post order communication with customers to provide all updates about the shipment
• To resolve any problems faced by customer post shipment.
• Ensuring timely follow up on payments and escalating to the RM as and when required.

SAP & CRM:

• Responsible for smooth workflow in SAP & CRM.
• Entry of all mandatory fields in CRM/SAP for the generation of required document processing in it.

Sales support:

• Monthly report of Port data Analysis
• To provide port data to the Costing dept/RM for quotation/sales purpose as and when required.
• Email campaigns & lead generation as instructed by RM
• Secondary data research existing/New Products.

Team role:

• On the job training with domestic/OEM/Replacement coordination team as well.

Through understanding of SAP & CRM working of other sales segments as well.
