The ideal candidate will come with a strong background in event management agencies and possess deep technical know-how on events right from conceptualisation and execution of events to audio-visual production, broadcast streaming, and hybrid event platforms. You will be responsible for planning, budgeting, coordinating, and delivering large-scale physical, hybrid, and virtual events that align with business objectives and enhance brand equity.
Key Responsibilities:
1) Strategic Planning & Conceptualization:- Ideate and develop annual event calendars aligned with business priorities and brand objectives.- Design event concepts that deliver differentiated, immersive experiences across physical, hybrid, and digital formats.- Conduct stakeholder alignment meetings, understand briefs, and define KPIs for each event.- Ensure consistent & desired brand impact and result through the events2) Event Production & Execution:- Lead end-to-end project management of corporate events, including product launches, annual meets, internal engagement events, partner conferences, CXO forums, etc.- Oversee technical planning and production: AV design, stage setup, lighting, sound, broadcast setup, multi-camera live streaming, satellite uplink/downlink, etc.- Ability to handle multiple projects simultaneously and work within tight schedules- Drive venue selection, vendor finalization, budgeting, permissions, and logistics management.- Ensure seamless execution with adherence to timelines, budgets, and brand guidelines.3) Hybrid & Digital Event Management:- Lead the planning and execution of interactive digital and hybrid events hosted via microsites or event platforms (e.g. Zoom, Teams, Cvent, Hopin).- Coordinate the setup of secured access platforms, registration workflows, gamification, real-time polling, and analytics.- Manage webcasting/live streaming production, including encoding, mixing, switchers, backups, and post-event archiving.- Work with tech teams for firewalls, restricted access, content uploads, and streaming optimization.4) Vendor & Stakeholder Management:- Meet and manage respective stakeholder teams and coordinate with them regularly and always keeping them updated- Negotiate with vendors to achieve optimum impact and manage events within the budgets through proper planning- Coordinate with procurement for event agency onboarding - Prepare the RFP and follow the process- Manage relationships with event production agencies, technical vendors, AV partners, and platform service providers.- Collaborate with internal teams marketing, IT, facilities, legal, HR, and business units for seamless execution.- Negotiate contracts, ensure NDA and SLA adherence, and manage payments & documentation.5) Content & Creative Coordination:- Create all event related creatives and collaterals for communication and branding as per brand guidelines- Work with content and creative teams/agencies to develop event branding, communication collaterals, scripts, videos, presentations, and engagement modules.- Ensure event messaging is clear, impactful, and aligned to the audience profile.6) Risk Management & Compliance:- Ensure all technical and logistical arrangements comply with safety norms, legal permissions, and corporate security standards.- Build contingency plans and troubleshoot on-ground or online issues in real-time.7) Post-Event Analysis:- Create post-event reports capturing KPIs, audience feedback, technical performance, and ROI.- Maintain event archives and documentation for future reference and audits.- Evaluate events success and submit reports
