Job Description

Job Purpose

To ensure effective inventory management, timely procurement, and smooth functioning of the hospital's general stores department. The role involves receiving, storing, issuing, and maintaining stock of medical and non-medical supplies as per hospital policies and quality standards.

Key Responsibilities

  • Inventory Management
  • Maintain accurate inventory records using hospital ERP or manual systems.
  • Conduct regular stock audits and physical verification.
  • Monitor minimum and maximum stock levels to avoid shortages or overstocking.
  • Procurement & Receiving
  • Receive goods from vendors and verify items against purchase orders and invoices.
  • Inspect quality, quantity, and expiry dates of received items.
  • Coordinate with the purchase department for any discrepancies.
  • Storage & Stock Arrangement
  • Organize and label supplies systematically for easy retrieval.
  • Ensure proper storage conditions (temperature, ventilation, etc.) for sensitive items.
  • Dispose of expired or damaged items as per hospital protocols.
  • Issuance & Replenishment
  • Issue supplies to departments based on requisition slips and maintain records.
  • Replenish stock levels regularly through timely indenting.
  • Reporting & Documentation
  • Generate daily, weekly, and monthly stock reports.
  • Maintain logs for inward, outward, and returned items.
  • Assist in preparing documentation for audits and inspections.
  • Compliance & Safety
  • Follow hygiene, safety, and standard operating procedures (SOPs).
  • Ensure compliance with hospital policies and statutory regulations.
  • Coordination
  • Work closely with pharmacy, wards, operation theaters, and other departments.
  • Liaise with vendors and transport personnel for timely deliveries.

Qualifications & Skills

  • Education: Bachelor’s Degree in Commerce, Logistics, Supply Chain, or equivalent.
  • (Diploma in Hospital Materials Management is a plus.)
  • Experience: 2–5 years in hospital or healthcare supply chain/store management.
  • Skills:
  • Knowledge of medical supplies and hospital procurement.
  • Familiarity with hospital ERP systems.
  • Proficiency in MS Excel and documentation.
  • Strong organizational and time management skills.Working Conditions
  • May require occasional physical lifting of stock items.
  • Work primarily in storage rooms/warehouse areas.
  • Flexible to work in shifts, weekends, or holidays if needed.
