Job Description

Customer Service & Guest Relations

  • Greet visitors, clients, or guests in a friendly and professional manner.
  • Provide information and answer inquiries related to the company or services.
  • Handle customer concerns, complaints, or requests and escalate when necessary.
  • Ensure a positive first impression for all guests.

2. Reception & Communication

  • Answer, screen, and transfer incoming phone calls.
  • Maintain a tidy and presentable reception area.
  • Manage incoming and outgoing emails/messages.
  • Handle walk-in appointments and direct visitors to the appropriate departments.

3. Administrative Support

  • Assist with scheduling meetings, appointments, and conference rooms.
  • Maintain office supplies inventory and place orders when needed.
  • Prepare and organize files, documents, and records.
  • Assist other departments with administrative tasks (data entry, photocopying, scanning).

4. Security & Visitor Management

  • Register and issue visitor badges or passes.
  • Maintain a log of visitors, employees, or deliveries.
  • Ensure only authorized individuals access the premises.
  • Coordinate with security personnel when needed.

5. Telephone & Communication Management

  • Operate telephone switchboard or multi-line systems.
  • Take accurate messages and ensure timely delivery to concerned parties.
  • Provide detailed and accurate information over the phone.

6. Mail & Delivery Handling

  • Receive, sort, and distribute incoming mail and packages.
  • Prepare outgoing mail, shipments, or courier requests.
  • Coordinate with delivery services.

7. Booking & Scheduling

  • Manage meeting room reservations.
  • Schedule appointments for clients or staff.
  • Update calendars and notify relevant personnel.

8. Recordkeeping & Data Management

  • Maintain and update contact lists, visitor logs, and databases.
  • Keep accurate records of office activities, expenses, or inventories.

9. Support for Office Operations

  • Help organize company events or meetings.
  • Assist with onboarding new employees (e.g., issuing access cards, guiding them through the office).
  • Collaborate with HR, Admin, and Operations teams.

10. Professional Appearance & Conduct

  • Maintain a professional demeanor at all times.
  • Follow company policies, confidentiality rules, and code of conduct.

Job Type: Full-time

Pay: ₹12,000.00 - ₹15,000.00 per month
