Job Title

Front Office Executive – Hostel Operations
Brand: Shalom Backpackers
Location: Mussoorie

Role Overview

We’re looking for a people-first, process-driven Front Office Executive who understands the hostel environment, loves interacting with travellers, and can manage operations using tech tools. This role is the face of Shalom Backpackers—responsible for smooth guest journeys from pre-arrival to post check-out, while coordinating closely with housekeeping and operations.

Key Responsibilities1. Guest Handling & Front Desk Operations

  • Handle guest check-ins, check-outs, room allocations, and extensions smoothly
  • Welcome guests with Shalom’s vibe—warm, friendly, and professional
  • Resolve guest queries, complaints, and special requests in real-time
  • Maintain guest records, IDs, and payments accurately

2. PMS & System Management (Ezee PMS)

  • Manage reservations, availability, room status, and rate plans on Ezee PMS
  • Update check-in/check-out status, cancellations, and no-shows
  • Ensure data accuracy for reporting and audit purposes
  • Coordinate with revenue / reservations team if required

3. Pre-Arrival Calling & Guest Communication

  • Make pre-arrival calls / WhatsApp communication to confirm ETA, policies, and requirements
  • Share check-in details, directions, house rules, and experiences
  • Collect arrival details and special requests in advance
  • Ensure smooth planning for peak days and group bookings

4. Housekeeping Coordination & Room Readiness

  • Coordinate with housekeeping team for room cleaning, dorm readiness, linen change, and deep cleaning
  • Update room status in PMS after inspection
  • Report maintenance issues and follow up until closure
  • Ensure rooms and common areas meet Shalom’s cleanliness standards

5. Google Forms & Data Collection

  • Use Google Forms for:
  • Guest feedback
  • Daily checklists & audits
  • Incident reporting
  • Guest preferences / experience forms
  • Ensure accurate data submission and timely reporting

6. Hostel Environment & Community Management

  • Understand hostel culture and encourage community vibes & social interaction
  • Assist in promoting in-house events, tours, and experiences
  • Guide guests about local attractions, cafés, transport, and rentals
  • Maintain discipline and enforce hostel policies respectfully

7. Cash Handling & Reports

  • Handle cash/card/UPI transactions responsibly
  • Maintain shift-wise cash reports and handovers
  • Share daily occupancy, arrivals, departures, and issues with management

Skills & Requirements

  • Prior experience in hostel / backpackers / budget hotel front office
  • Working knowledge of Ezee PMS (mandatory or strong advantage)
  • Strong guest communication and problem-solving skills
  • Basic understanding of housekeeping workflows
  • Comfortable using Google Forms, WhatsApp, Excel/Sheets
  • Flexible with shifts, weekends, and peak seasons
  • Calm, organised, and guest-centric mindset
