Executive Support:
- Manage complex calendars, scheduling meetings, appointments, and conference calls with internal and external stakeholders.
- Coordinate domestic and international travel arrangements, including flights, accommodations, and transportation logistics.
- Prepare and organize materials for meetings, ensuring executives are well-prepared and informed.
- Act as a strategic partner by prioritizing initiatives across competing interests and teams to ensure all meetings are essential in moving the needle toward company and department goals
- Execute on strategic projects and initiatives such as external meeting hosting/coordination and content planning/creation among other projects
Administrative Efforts:
- Act as the primary point of contact for internal and external inquiries, exercising discretion and professionalism in all interactions.
- Handle correspondence, including emails, letters, and phone calls, with a high degree of accuracy and timeliness.
- Assist with the preparation and editing of documents, presentations, and reports as needed.
- Collaborate with the EA team to ensure that there is cohesion between departments for operational excellence
- Draft and track agendas for meetings, take notes and/or action items to document the decisions made and execute on any follow up
- Track and submit all monthly expenses for your executives
- Provide other administrative and project management support as needed depending on your executives needs and departments
Event Management:
- Plan and execute company events, including team-building activities, offsite retreats, and corporate outings, to promote employee engagement and foster a positive company culture.
- Coordinate logistics for client events, conferences, and trade shows, ensuring a seamless and memorable experience for all participants.
- Manage event budgets, negotiate contracts with vendors, and oversee all aspects of event execution to ensure alignment with company objectives.
Culture Enhancement:
- Collaborate with HR and departmental leaders to develop and implement initiatives that promote a diverse, inclusive, and supportive work environment.
- Organize employee appreciation events, recognition programs, and wellness activities to boost morale and employee satisfaction.
- Serve as a culture ambassador, embodying the companys values and fostering a sense of belonging and camaraderie among team members.
Basic Requirements :
- Bachelors degree in Business Administration, Communications, or related field preferred.
- 0-2 years of proven experience as an Executive Assistant or similar role, preferably in a fast-paced IT or tech-driven environment.
- Integrity and discretion in handling confidential information
- Time management, pattern recognition, prioritization, diligent attention while managing numerous projects with set deadlines
- Strong communication and interpersonal skills, with a professional demeanor and the ability to interact confidently with individuals at all levels.
- Proficiency in Slack and Google Suite of products and other productivity tools, with a keen eye for detail and accuracy.
- Experience in event planning and coordination, with a creative mindset and a passion for creating memorable experiences.
- Professionalism and a high degree of emotional intelligence
- Self-starter mentality, inventiveness and creativity when tackling roadblocks
- Resourcefulness and ability to work in ambiguous environments, being comfortable with the unknown as well as working under pressure
- Ability to effectively give, receive, and respond to feedback
- Ability to maintain confidentiality and exercise discretion in handling sensitive information.
