Warehouse Operations Responsibilities 1. Operational Efficiency - Streamline warehouse processes to improve productivity and meet timelines. - Submit reports as per Standard Operating Procedures (SOPs). - Ensure effective operations handling and adhere to Key Performance Indicators (KPIs) and Service Level Agreements (SLAs). 2. Inventory Management - Maintain high inventory accuracy by ensuring records match the Warehouse Management System (WMS). - Implement effective inventory management practices. 3. Team Management - Hire, train, and supervise warehouse staff. - Set clear goals and objectives for team members and provide regular feedback. - Implement compliance and safety protocols and training programs to minimize accidents and injuries. 4. Cost Management - Monitor and manage warehouse expenses and budgetary adherence. - Optimize labor costs, implement First-In-First-Out (FIFO) practices, and ensure space optimization. 5. Customer Service - Handle customer inquiries and complaints effectively to maintain high levels of customer satisfaction. ROLE and RESPONSIBILITIES: Operation Manager Responsible for Implementation of process in ERPL software, starting from Order to Placement to despatch to tracking to POD(hardcopy) Coordination with the concerned Zone/branch to complete the process on the same day. Coordinating and ensuring the orders are punched by KAM on the previous day in evening. Coordinating and ensuring placements are punched on the day of placement on real time. Coordinating and ensuring the Checklist is filled, counting is done on paper as-well, pics are taken as per the SOP, Instruction for safe driving given to the driver by the supervisor while loading of the vehicles. Coordinating and ensuring the dispatch is done on the APP by the supervisor on the same day of the loading. Coordinating and ensuring tracking is available for all the vehicles (Self/Mkt) by the tracking executive sitting at Zones/branches. Ensure the e-waybill should be valid till the delivery of the material. Ensure the soft copy of the POD is collected within 24hrs of the delivery from the drivers. Prepares daily variance report branch & Zone wise and forward to all concerned. Implementation of Roado software Pan India Any other activities assigned by the management from time to time. Key Responsibilities:Manage and Oversee Collections: Follow up on overdue accounts and ensure timely collections from customers, focusing on minimizing bad debts in the transport industry. Customer Communication: Engage with customers through calls, emails, and meetings to discuss outstanding payments and resolve disputes or concerns. Invoice Review and Discrepancy Resolution: Review customer invoices, identify discrepancies, and work with the relevant departments to resolve billing issues, ensuring payment is received promptly. Maintain Accurate Records: Keep detailed and accurate records of all communications, collections, and payment arrangements. Develop and Implement Collection Strategies: Collaborate with senior management to develop and implement effective collection strategies, particularly for clients in the transport sector (e.g., fleet operators, logistics companies, freight carriers). Credit Risk Analysis: Monitor credit limits and assess the risk of extending further credit to customers based on payment history and financial behavior. Reporting and Documentation: Generate regular reports on outstanding debts, payment status, and collection performance metrics. Provide insights to management to improve collections processes. Collaborate with Internal Teams: Work with the sales, finance, and operations teams to resolve issues and streamline the invoicing and payment process. Compliance: Ensure all credit collection activities are compliant with company policies and relevant industry regulations.

JD: Regional Billing Process Oversight Billing SOP needs to be completed in System for all customer Improvement in Billing & TAT target Arrange POD’s to billing team. Follow up for the Un-billed from Self and Other branches (whose arrivals are done) Ensuring checking of the Bills are done within 24hrs of preparation Ensuring bill submission is done as per TAT and proof is uploaded 100% Monthly bill register needs to be approved from customer. If any issues are there in billing the same needs to be sorted out within 3 days Revenue Management and Optimization Ensure faster billing be resolving the issues of Zero Freight, Damage, Shortage, Accident, Returned goods from the KAM & Business Head (Escalation to be done if KAM is not able to resolve in 72 hrs) Team Leadership and Development Should be a good Team Leader and keep his team always motivated Imparting proper training to the staffs of his department from time to time Customer Service and Stakeholder Management Maintain a customer satisfaction score (CSAT) of at least 90% related to billing services. Address all billing-related inquiries and issues within 48 hours. Conduct quarterly customer feedback surveys and implement improvements based on feedback. Process Standardization and Improvement Ensuring bill preparation from each executive as per daily Target To receive PODs from Courier / Arrival department Any other activities assigned by the management from time to time Ensure the bill submissions are done as per customer SOP and billing cycle strictly.
