Job Description

The Executive – Office Administration will oversee day-to-day operations at Expatserv’s Trivandrum office, ensuring smooth coordination between clients, vendors, and internal teams. The role involves handling documentation, client communication, and basic accounting support with professionalism and attention to detail. The ideal candidate will be organised, proactive, and capable of managing multiple administrative responsibilities independently.

Key Responsibilities

  • Manage the day-to-day administration of the Trivandrum office, including correspondence, filing, and office upkeep.
  • Coordinate with clients, property owners, and vendors for ongoing property management and service tasks.
  • Maintain accurate documentation of client records, agreements, invoices, and property-related files (both physical and digital).
  • Assist in scheduling, follow-ups, and status tracking for property registration, utility transfers, and interior projects.
  • Support the accounts team in recording expenses, preparing vouchers, and maintaining petty cash and payment logs.
  • Liaise with service providers and contractors to ensure timely completion of assigned works and service quality.
  • Handle incoming calls, visitor interactions, and client communications with professionalism and discretion.
  • Uphold confidentiality, maintain reporting discipline, and ensure smooth coordination between field and office teams.

Job Requirements

  • A genuine interest and basic flair for office administration and coordination work.
  • Good common sense, reliability, and the ability to manage routine tasks responsibly without supervision.
  • Proficiency in communicative English; both written and spoken, and comfort in Malayalam for daily interactions.
  • Pleasant personality with professional telephone and client-handling manners.
  • Basic computer skills (email, MS Word, Excel, Google Sheets) and willingness to learn internal systems.
  • Strong sense of organisation, punctuality, and attention to detail.
  • Prior experience (up to 1 year) in any administrative, front-office, or coordination role is an advantage, but freshers with the right attitude are equally welcome.
  • Educational qualification is not a constraint; attitude, communication, and responsibility matter more than degrees.

Remuneration

A fixed monthly salary will be offered commensurate with the candidate’s experience and capability. In addition, the position carries a group performance incentive, rewarding the collective results and efficiency of the Expatserv Trivandrum team.

Job Types: Full-time, Permanent

Pay: ₹9,000.00 - ₹15,000.00 per month
