Job Description

Position Overview

We are seeking a highly organized and proactive Executive Assistant (EA) to support the Business Line Leader of our Industrial & Logistics Real Estate Services division. The EA will play a critical role in enabling the leader to focus on strategic priorities by managing daily operations, communication, client interface, and project coordination. This role demands discretion, strong business acumen, and the ability to thrive in a fast-paced, client-driven environment.

Key Responsibilities

1. Executive Support & Coordination

2. Manage the Business Line Leaders calendar, travel, and meetings, ensuring alignment with strategic priorities.

3. Serve as the gatekeeper for all internal and external communications.

4. Prepare executive briefings, presentations, and market reports tailored to industrial & logistics clients.

5. Anticipate the leader’s needs and proactively resolve administrative and scheduling challenges.

Business Line Operations

1. Support business development activities, including pipeline tracking, client meeting preparation, and deal documentation.

2. Assist in the review and consolidation of leasing reports, rent rolls, and market intelligence.

3. Coordinate internal team meetings, follow-ups, and deliverables across leasing, research, capital markets, and property management.

4. Liaise with finance, HR, and marketing teams to ensure timely submissions of budgets, forecasts, and marketing collaterals.

Client & Stakeholder Management

1. Act as the first point of contact for priority clients, developers, and investors.

2. Ensure high-quality responses to client queries, proposals, and RFPs.

3. Maintain CRM records for client engagements and track touchpoints.

4. Support preparation for industry events, investor forums, and client reviews.

Information & Reporting

1. Collate and analyse data on leasing activity, vacancy trends, rentals, and demand drivers.

2. Prepare monthly dashboards and business line performance trackers for leadership reviews.

3. Draft business correspondence, proposals, and presentations for senior stakeholders.

Qualifications & Skills

1. Bachelor’s degree (Business Administration, Real Estate, Economics, or related preferred).

2. 2+ years of experience in an Executive Assistant, Business Support, or Analyst role (experience in real estate services or consulting preferred).

3. Strong organizational, multitasking, and problem-solving abilities.

4. Excellent verbal and written communication skills; ability to draft professional correspondence and presentations.

5. Advanced proficiency in MS Office (Excel, PowerPoint, Outlook); exposure to CRM tools a plus.

6. High emotional intelligence, discretion, and the ability to handle confidential information.

7. Strong client orientation and business acumen, especially in the context of industrial & logistics markets.
