Role & responsibilities Inward Material & GRN Verify incoming material against supplier invoice and purchase order. Check quantity, quality, and condition of goods at the time of receipt. Prepare Goods Receipt Note (GRN) on the same day and update records in system/register. Intimate Head Office for any discrepancy/damage immediately. 2. Stock Arrangement & Maintenance Arrange stock properly in designated racks/locations (FIFO/LIFO as applicable). Maintain cleanliness and safety standards in the depot. Ensure proper labeling of stock for easy identification. Regularly check for slow-moving or damaged goods and report. 3. Proforma Invoice Preparation Generate proforma invoice as per customer/management requirement. Ensure correct pricing, taxes, discounts, and customer details. Share with sales/accounts team for approval before finalization. 4. Sales & Dispatch Process On order confirmation, prepare Delivery Note, Invoice & E-Way Bill accurately. Ensure proper packing and loading of material. Verify transporter details and ensure timely dispatch. Handover signed delivery note to transporter/driver and keep a copy for records. 5. Daily Reports Stock-in and stock-out summary. Sales/dispatch register. Pending deliveries report. Inward material register with GRN details. 6. Weekly Reports Detailed Stock Report (item-wise, quantity, value). Item Requirement Report (stock vs. reorder level). Outstanding GRNs and pending inward/outward. Non-moving/slow-moving stock list. 7. Customer Outstanding Follow-up Review customer outstanding report weekly with sales executives. Ensure sales executives follow up with customers for timely collection. Escalate overdue beyond 60 days to Accounts/Management for necessary action.
