Location: Kolkata Department: Strategy and Administration Reports To: Chief of Strategy, Group Head ESG & Business Head Jaipur & Kolkata Job Type: Full-time Job Overview: We are seeking a highly organized, detail-oriented, and proactive Executive Assistant to support the Chief of Strategy, Group Head ESG & Business Head Jaipur & Kolkata in a fast-paced hospital environment. The ideal candidate will possess strong analytical skills , exceptional communication abilities, and a keen understanding of the healthcare industry. You will play a crucial role in managing strategic initiatives, optimizing administrative processes, and supporting the effective functioning of the hospital's leadership team. Key Responsibilities: Administrative Support: Provide high-level administrative support to the Chief of Strategy, Group Head ESG & Business Head Jaipur & Kolkata, including managing calendars, scheduling meetings, preparing agendas, and coordinating travel arrangements. Screen and prioritize incoming correspondence, emails, and phone calls for the CSAO, responding to inquiries when appropriate. Maintain and organize files, documents, and reports to ensure easy accessibility and confidentiality. Strategic Support: Assist in the preparation and analysis of reports related to the hospitals strategic goals, operational performance, and administration. Conduct research and compile data to assist the Chief of Strategy, Group Head ESG & Business Head Jaipur & Kolkata, in decision-making processes. Prepare presentations, briefing materials, and reports for internal and external stakeholders, ensuring clear, concise, and actionable content. Project Management: Help manage and track progress of strategic initiatives, ensuring projects are completed on time, within scope, and aligned with the hospitals overall objectives. Collaborate with cross-functional teams to gather information, track milestones, and assist in the preparation of project documentation. Communication and Coordination: Act as a liaison between the Chief of Strategy, Group Head ESG & Business Head – Jaipur & Kolkata and various departments, ensuring smooth communication and collaboration across teams. Organize and facilitate high-level meetings, including preparing materials and tracking follow-up actions. Manage sensitive and confidential information, ensuring that all interactions adhere to privacy and security standards. Analytical & Reporting Support: Conduct in-depth analysis of key operational data and generate actionable insights to help shape strategic decisions. Identify trends, opportunities for process improvement, and present findings to the Chief of Strategy, Group Head ESG & Business Head – Jaipur & Kolkata for further consideration. Support the creation and tracking of performance metrics and KPIs related to hospital administration and strategy. Operational Efficiency: Support the optimization of hospital operations by identifying areas for process improvement and recommending solutions. Key Requirements: Experience: Minimum of 3-5 years of experience as an executive assistant or in a similar administrative role, preferably within a healthcare or hospital environment. Proven track record in supporting senior executives, with exposure to strategic planning, project management, and data analysis. Skills and Competencies: Strong analytical skills with the ability to interpret complex data and provide actionable insights. Proficient in Microsoft Office Suite (Excel, PowerPoint, Word) and other data management tools. Knowledge of hospital management software is a plus. Exceptional organizational and time-management skills, with the ability to manage multiple tasks and deadlines. Strong written and verbal communication skills, with an ability to convey information clearly and professionally. Ability to handle sensitive and confidential information with the utmost discretion. Strong problem-solving abilities and a proactive approach to task management. Personal Attributes: Highly detail-oriented with a keen eye for accuracy. Ability to work independently and as part of a collaborative team. Strong interpersonal skills, capable of building and maintaining relationships with stakeholders at all levels.
