Dispatch Manager

• Dispatch Planning & Execution

1. Plan daily dispatches based on sales orders, delivery schedules, and customer priorities.
2. Coordinate with production and stores to ensure timely readiness of goods for dispatch.
3. Assign vehicles based on load capacity, route optimization, and priority orders.

• Documentation & Compliance

1. Prepare and verify dispatch documents such as invoices, delivery challans, E-way bills, packing lists, and transport permits.
2. Ensure documentation accuracy and timely updates in ERP/FINSYS or related dispatch systems.
3. Maintain records of dispatches and returned goods.

• Vehicle & Transport Coordination

1. Coordinate with transporters and internal vehicle teams to ensure timely vehicle availability
2. Ensure proper vehicle loading as per weight, size, and material sensitivity.
3. Monitor transit time and follow up on delivery status.

• Customer Communication & Delivery Tracking

1. Share dispatch details with customers including vehicle info and estimated delivery time.
2. Address and resolve delivery-related issues, delays, or complaints promptly.
3. Maintain a delivery performance tracker and work on reducing delivery delays.

• Finished Goods Inventory

1. Coordinate with the store and production team for finished goods availability
2. Ensure proper stacking and identification of ready-for-dispatch material.
3. Manage space in dispatch area for efficient material flow and safety.

• Cost & Efficiency Monitoring

1. Optimiz vehicle routes and loading for cost-effective dispatch.
2. Monitor and reduce demurrage charges and waiting time.
3. Analyze dispatch performance and suggest process improvements.

• Audit & Compliance:

1. Prepare for customer, system, and internal audits related to dispatch.
2. Maintain hygiene and safety standards in the dispatch area.
3. Ensure adherence to statutory and GST compliance in logistics documentation.
