Position Overview

We are looking for a

Central Facilities Executive

to join our Facilities team. This role involves coordinating with Facility Executives across NxtWave's PAN-India Experience Centres to ensure smooth facilities operations, vendor management, compliance, and process adherence.The ideal candidate will have strong coordination, communication, and reporting skills to support centralized monitoring of facilities activities and ensure operational excellence across all centres.

Key Responsibilities

Team Coordination & Sync-Ups

  • Conduct regular sync-ups with Facility Executives across Experience Centres.
  • Understand on-ground challenges, progress, and completed activities.
  • Document learnings and propose actionable improvement plans.

Process Monitoring & Compliance

  • Ensure Facility Executives adhere to daily/weekly checklists and SOPs.
  • Track pending works and coordinate with vendors or internal teams for closure.
  • Escalate any issues or non-compliance to the Reporting Manager.

Reporting & Documentation

  • Provide ground-level reports post sync-ups with centres.
  • Update central dashboards and sheets with daily activity status.
  • Prepare and submit consolidated weekly and monthly reports to the Reporting Manager.

Centre Evaluation & Action Planning

  • Assess performance and operational efficiency of each Experience Centre.
  • Identify strengths, challenges, and recommend corrective actions.

Vendor & Agreement Coordination

  • Coordinate with Experience Centre vendors for agreements and payment processing.
  • Liaise with Legal and Accounts teams for documentation and monthly rental payments.

Budget & Expense Management

  • Monitor monthly budgets, electricity bills, and ad-hoc expenses for all centres.
  • Review and process expense reports for timely submission and approval.

Inventory & Asset Management

  • Track inventory levels and asset utilization across all centres.
  • Raise replenishment requests when stock levels fall below thresholds (e.g., 30%).

Petty Cash & Finance Handling

  • Manage petty cash for Experience Centres with proper documentation.
  • Verify bills and forward to Finance for processing and record-keeping.

Qualifications

  • Bachelor's degree in Business Administration, Facilities Management, or a related field.
  • 03 years of experience in facilities coordination, administration, or operations.
  • Proficiency in MS Office (Excel, Word, PowerPoint); familiarity with facility management tools is an advantage.
  • Strong communication, coordination, and stakeholder management skills.
  • Good analytical and problem-solving abilities.
