The ideal candidate will act as a bridge between the school administration, customer support, purchase, and warehouse teams to ensure smooth, accurate, and timely order fulfilment. Key Responsibilities 1. Sales Order Management Oversee creation and approval of Sales Orders (SO) as per school requirements. Ensure item master mapping, pricing, and BOM selection are accurate and as per final quotation. Coordinate with the sales team to validate PO, discounts, and credit notes. Implement maker-checker process compliance and approvals. 2. Online Backend Operations Manage ERP and Magento syncing for orders, inventory, and tracking. Supervise customer master and product master creation processes. Handle backend issues related to order tracking, delivery status, or return coordination. Act as escalation point for backend customer queries. 3. Cross-Department Coordination Liaise between school admin, customer support, purchase, warehouse, and accounts departments. Coordinate with the Purchase Team for PO and GRN management for online orders. Ensure timely assignment and tracking of inventory to delivery channels. 4. Quality Assurance & Process Adherence Ensure all backend and order-related SOPs are followed with accuracy and discipline. Monitor SLAs and ensure orders are dispatched as per committed timelines. Conduct process audits and suggest improvement opportunities. 5. Team Collaboration & Reporting Support in onboarding and training backend executives or interns. Prepare daily and weekly MIS for management review. Flag system issues or operational delays to senior management with suggested solutions. Required Qualifications & Skills Bachelors degree in Business, Commerce, Operations, or related field (MBA preferred). 35 years of experience in operations, order processing, or backend coordination (preferably in eCommerce or educational services). Hands-on experience with ERP software, backend portals, or Magento-like systems. Strong organizational and communication skills. Ability to multitask, problem-solve, and meet tight deadlines. This role ensures the accuracy, quality, and efficiency of all inward processes, directly supporting inventory integrity, cost control, and seamless downstream operations. The position requires strong leadership to manage teams, vendors, and cross-functional coordination. Key Responsibilities: 1. Inbound Operations Management: • Plan, schedule, and oversee the entire inbound logistics process, including unloading, sorting, and staging of incoming shipments from vendors and publishers. • Ensure accurate and timely Goods Receipt Note (GRN) generation, physical verification, and system reconciliation against purchase orders. • Manage relationships with vendors and transporters to ensure adherence to schedules and resolve any inbound discrepancies. 2. Return Management (RMA): • Own and manage the end-to-end Reverse Logistics (RMA) process, from authorization and receipt from schools to inspection, sorting, and processing for replacement, credit, or scrap. • Conduct root cause analysis for returns and implement corrective actions to minimize future occurrences. • Ensure accurate tracking and reporting of all RMA statuses in the system. 3. Quality Check & Sample Management: • Implement and supervise a robust quality control process for all incoming goods to ensure compliance with company standards. • Establish a systematic process for managing samples received from vendors/publishers, including cataloging, storage, and distribution to relevant departments for evaluation. 4. Team Leadership & Workflow Supervision: • Lead, train, and manage the inward operations team, including checkers, helpers, and operators. • Assign daily tasks, monitor workflow, and ensure efficient resource utilization to meet productivity targets. • Conduct regular team meetings and performance reviews. 5. Performance Monitoring & Reporting: • Define, track, and analyze Key Performance Indicators (KPIs) for the inbound department (e.g., Truck Turnaround Time, GRN Accuracy %, Returns Processing Time). • Prepare and present daily and weekly reports on inbound volume, variances, returns status, and team productivity to the Operations Manager. • Implement data-driven strategies for continuous process improvement. 6. Coordination & Compliance: • Act as the primary point of contact for coordinating with vendors, procurement, and quality departments regarding inbound schedules, discrepancies, and quality issues. • Liaise with the outbound and inventory teams to ensure timely put-away and accurate stock records. • Ensure all inward operations comply with company safety protocols and standard operating procedures (SOPs).
