Billing Executive

Key Responsibilities

• Billing & Invoicing
• Generate accurate sales invoices/bills for customers based on purchases.
• Apply correct GST rates, hallmarking charges, and discounts as per company policy.
• Ensure all invoices comply with statutory requirements.
• Cash & Payment Handling
• Process payments via cash, card, UPI, bank transfers, or cheque.
• Maintain accurate records of transactions in the POS/billing system.
• Reconcile daily sales and payment collections with the accounts team.
• Customer Interaction
• Politely and efficiently handle customer billing queries.
• Explain bill details, pricing breakdown, and warranty/return policies when needed.
• Coordinate with sales staff for smooth handover from sales to billing.
• Record Keeping & Reporting
• Maintain daily billing logs and sales reports.
• Assist in preparing data for audits, inventory checks, and monthly accounts.
• Safeguard all billing records and ensure proper filing.
• Compliance & Security
• Follow showroom protocols for gold/diamond weight measurement during billing.
• Verify product details, certificates, and barcodes before generating bills.
• Prevent and report any billing discrepancies or fraudulent activities.
• Coordination & Support
• Liaise with the accounts team for payment reconciliation.
• Assist in updating billing software and training new staff on billing procedures.
• Support the front office in peak hours if required.

Skills & Requirements

• Experience: 1–3 years in retail billing, preferably in jewellery or luxury retail.
• Technical Skills: Proficiency in billing/POS software, MS Excel, and GST billing rules.
• Soft Skills: Attention to detail, numerical accuracy, customer handling skills, honesty, and integrity.
• Other: Knowledge of jewellery weights, purity, hallmarking, and industry billing norms is an advantage.
