Job Description

Back Office Project Admin

Department:

Role Overview:

The Back Office Project Admin will support the Project Management Office (PMO) in ensuring smooth daily operations of projects. This role involves maintaining project documentation, supporting assurance processes, coordinating meetings and travel, and ensuring compliance with Atechs project standards. The candidate will also assist in internal departmental initiatives and continuous improvement efforts.

Key Responsibilities:

Project Support & Documentation

  • Assist PMO in daily project operations.
  • Create and maintain project documentation: closure forms, RAID logs, lesson learnt logs, meeting minutes.
  • Review project artefacts for quality assurance and compliance with Atech standards.
  • Maintain consistency across internal project management tools (e.g., Mavenlink).

Coordination & Communication

  • Organise meetings, travel, and accommodation as required.
  • Support Project Managers with minute-taking, action tracking, and artefact updates.
  • Liaise with stakeholders across various levels and backgrounds.

Monitoring & Reporting

  • Monitor prepaid days schedule and ensure coverage; communicate changes to customers via email.
  • Weekly review of time logs; follow up on incomplete entries and report repeat offenders.
  • Review project portfolio for updates and compliance with standards.
  • Quality check sales handover forms and raise queries as needed.
  • Create and send project closure forms via e-signature.
  • Archive project files and complete closure tasks.
  • Ensure health reports and milestone methods are correctly implemented.
  • Track prepaid days usage and notify relevant stakeholders at 75% consumption.

Process Improvement

  • Document processes and policies to support continuous improvement.
  • Maintain master log of lessons learnt across projects.

Qualifications:

Must Have:

  • 3+ years of relevant experience
  • Project Management Certificate (Foundation/Fundamental).
  • Bachelors Degree or equivalent
  • Strong written communication and office skills.
  • Demonstrable organisational and task management abilities.
  • Excellent interpersonal and time management skills.
  • Ability to manage multiple tasks and prioritise effectively.
  • Attention to detail and problem-solving capabilities.
  • Coachability and team-oriented mindset.
