Job Description

As an Associate Executive Officer at White Gold, a technology-driven and innovative company based in Bangalore, you will play a crucial role in ensuring the priorities of senior executives are met and organizational goals are achieved using best practices. You will be responsible for maintaining comprehensive and accurate records, ensuring organizational processes are well-documented and accessible. Serving as the primary point of contact for all employees, you will liaise with clients, business partners, major vendors, and senior executives from external agencies. Your role will involve providing comprehensive administrative assistance to ensure that senior executives" priorities align with the overall organizational goals. In terms of meeting coordination and communication, you will set up and conduct meetings efficiently, manage key information flow, handle minutes of meetings, maintain e-calendars, send emails, draft memos, presentations, and reports on behalf of the executive. Your ability to summarize complex information into a concise and impactful overview will be crucial. As a follow-up manager, you will ensure the execution of agreed actions across the Board and Senior Leadership Team, and also attend and present at Senior Leadership Team meetings using effective presentation methods. Moreover, you will be responsible for maintaining documentation and records, ensuring that organizational processes are well-documented and accessible. In terms of travel and event management, you will organize and manage travel logistics for senior executives, ensuring seamless travel experiences, and plan and coordinate team communications and events, both internal and off-site. To excel in this role, you should have proficiency with office productivity tools and a willingness to learn new software and systems. Strong time-management skills, the ability to organize and coordinate multiple concurrent projects, excellent verbal and written communication skills, discretion, and confidentiality are essential. Strong interpersonal skills are also required for effective client and staff interaction. As an ideal candidate, you should be tech-savvy with a professional approach, a flexible team player adaptable to changes and challenges. You should have a minimum of four years of experience in an administrative role directly reporting to upper management, experience in overseeing budgets and expenses, and experience in developing internal processes and improvements. Education-wise, a Bachelor's degree or equivalent in a relevant field is required, while additional certifications or a postgraduate diploma would be advantageous for this role.,
