Administration Support - Heavy Commercial Trucks

English speaking role - key responsibilities and requirements:

Maintain databases:

• Ensure efficient workflows by managing data
• Managing cloud storage system Onedrive for document organisation
• Assist with maintaining e-files
• Communicate clearly with the management team, keep in touch on a regular basis to discuss the work activity across all work areas

Organise records:

• Keeping accurate records and documents is a crucial part of this role
• Perform data entry, filing, document management
• File invoices and update records of repairs
• Maintain accurate records of all fleet vehicle maintenance and maintenance records
• Enter work orders, service records, and repair information into maintenance systems
• Process maintenance-related invoices and match them to work orders
• File and organize inspection reports, service logs, and repair histories
• Preparation of reports, Support audits and internal reviews
• Support staff with administrative tasks: assisting with various office tasks
• Assist other teams and support departments
• Additional duties as and where required

Qualifications Required:

• Secondary school diploma or equivalent
• Administrative or office experience
• Strong organizational and data entry skills
• Proficiency with Microsoft Office (Excel, Word, Outlook)
• Ability to multitask and work in a fast-paced environment
• Strong communication and attention to detail
