Job Profile: Executive Assistant to the Director Position Overview The Executive Assistant (EA) to the Director provides high-level administrative, strategic, and operational support. This role requires strong organizational skills, discretion, and the ability to manage multiple priorities while serving as a critical link between the MD and internal/external stakeholders. Key Responsibilities: 1. Administrative & Operational Support · Manage the calendar, schedule meetings, and coordinate travel arrangements. · Prepare agendas, presentations, and minutes for meetings, reviews, and key discussions. · Track deadlines, commitments, and follow-ups to ensure timely execution. · Handle confidential documents and correspondence with utmost discretion. · Handle HR & Office Admin related task given by the Director. 2. Communication & Liaison· Act as the point of contact between the Director and internal teams, clients, government officials, and industry bodies. · Draft, review, and manage professional correspondence, reports, and briefing notes. · Maintain all communication records and documents of the organisation in soft copy and hard copy. · Ensure effective communication flow between departments and the Director office. 3. Strategic & Business Support· Conduct research, analyze data, and prepare reports to assist in decision-making. · Support in monitoring business projects, performance metrics, and strategic initiatives. · Assist in preparing proposals, speeches, and presentations for public/industry events. · Maintain an overview of industry trends, competitor activities, and regulatory developments relevant to the business. 4. Event & Stakeholder Management· Coordinate meetings, conferences, and official events involving the Director. · Liaise with external stakeholders, partners, and government/industry representatives and offices. · Ensure hospitality and protocol arrangements for VIP meetings. 5. Office & Team Coordination· Supervise support staff assigned to the office. · Ensure smooth functioning of daily administrative operations and effective workflow. · Support in implementing organizational policies and directives from the Director. Skills & Competencieso Strong written & verbal communication (English & local language). o High level of discretion, integrity, and professionalism. o Exceptional organizational and multitasking abilities. o Strong analytical and problem-solving skills. o Proficiency in MS Office Suite, scheduling tools, and business communication platforms. o Ability to work under pressure and adapt to dynamic business needs. Qualifications & Experienceo Graduate/Postgraduate in Commerce, Business Administration, Management, or related field. o 2-3 years of relevant experience supporting senior leadership (preferably in corporate, industry association, or government interface). o Exposure to corporate governance, board support, or industry bodies will be an advantage.
