Role & responsibilities: Calendar & Schedule Management: Coordinate and manage complex calendars, including internal/external meetings, events, and deadlines. Communication Handling: Draft, review, and manage professional correspondence, memos, and emails on behalf of the executive. Maintain confidentiality at all times. Travel Arrangements: Plan and coordinate domestic and international travel including flights, hotels, visas, transportation, and itineraries. Meeting Preparation: Prepare agendas, presentations, and reports; take and distribute minutes and follow up on action points. Stakeholder Coordination: Act as a liaison between the executive and internal/external stakeholders, including clients, vendors, and team members. Document Management: Organize and maintain records, reports, and legal/business documentation both digitally and in hard copy. Project Support: Assist in project coordination and ensure timely follow-ups on critical tasks and deadlines. Office Administration: Oversee day-to-day administrative operations and coordinate with HR, IT, and finance as needed. Preferred candidate profile Bachelor's degree (preferred in Business Administration or similar field) Minimum 3 years of experience as an Executive Assistant or in a similar support role Excellent verbal and written communication skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Strong time management, organisational, and multitasking abilities High level of discretion, confidentiality, and professionalism Strong interpersonal skills and ability to work with senior leadership Experience supporting C-suite executives Exposure to international travel arrangements and multicultural work environments Tech-savvy, with the ability to adopt new tools/platforms quickly Positive attitude and high adaptability in fast-paced environments
