Purpose:

Energy Aspects currently has an exciting opportunity for a Travel Coordinator to join our growing team in Kolkata. This full-time office-based role is a fantastic opportunity for a proactive candidate with an excellent administrative support toolkit to join our highly regarded team and be part of our successful growth story. Candidates with Executive Assistant experience will be well-suited for this role.

The successful candidate will quickly take on ownership of our entire business travel process and full coordination of client meetings and trips for our global customer base.

You must be able to excel while working independently, have an ownership mindset and be able to manage various stakeholders across multiple time zones and under tight deadlines. In exchange, we offer excellent remuneration, a high-performance culture, with challenging and exciting work.

Key Responsibilities:

  • Start to end ownership and coordination of client meetings and trips, including itinerary management, overseeing logistics, communications management, collating and sharing supporting materials. Managing internal stakeholders to ensure timely completion of deliverables.
  • Liaising with internal and external representatives professionally and clearly, ensuring a high standard of delivery around client meetings set-up.
  • Providing administrative support to senior Executive Assistants based in London.
  • Supporting roll-out of new travel systems and processes.
  • Enforcing and encouraging the use of the correct travel process and policy throughout the company. Continuously maintaining, evolving and refining the travel process.
  • Maintaining company travel records, sharing those with relevant stakeholders and proactively collecting missing information.
  • Collaborating with other departments to ensure travel arrangements align with business needs and schedules.
  • Assisting with questions and queries related to global travel, and helping in emergencies.
  • Owning corporate relationships with accommodation providers and other relevant organisations, negotiating to secure the best rates and services.

Skills, Knowledge & Expertise:

  • Demonstrated experience providing travel or administrative support to a global workforce
  • Proactive communicator, equally excellent at face-to-face, virtual and written interactions
  • Highly organised planner, able to manage multiple complex itineraries in parallel
  • High attention to detail

Desirable Skills:

  • Experience working with senior stakeholders
  • Certification in project management, event management or similar
