Front Office Executive cum Admin Sanjay Nagar, Bengaluru/Bangalore Region 3 - 31 years INR 2.04 - 2.4 Lacs P.A. On-site Full Time

1. Reception and Front Desk Management: · Greet and welcome visitors, beneficiaries, and partners warmly and professionally. · Manage the main reception area, ensuring it is tidy, presentable, and well-stocked with necessary information. · Answer and direct incoming calls, taking messages accurately and promptly. · Manage incoming and outgoing mail, deliveries, and courier services. · Maintain visitor logs as required. 2. Administrative Support: · Provide general administrative and clerical support including filing, photocopying, scanning, and data entry. · Assist in scheduling and coordinating meetings, appointments, and events. · Prepare and edit correspondence, reports, presentations, and other documents as needed. · Manage office supplies inventory, place orders, and ensure efficient stock levels. · Maintain and update contact lists and databases. · Assist with basic HR administrative tasks, such as maintaining employee records and onboarding new staff. 3. Office Management & Logistics: · Ensure the office premises are well-maintained, clean, and functional, coordinating with cleaning and maintenance staff/vendors. · Oversee the functionality of office equipment (printers, copiers, projectors) and arrange for maintenance when necessary. · Assist in maintaining asset registers and managing office assets. · Support logistics for NGO events, workshops, and training sessions. 4. Communication & Coordination: · Serve as a central communication point, relaying information effectively between departments and external stakeholders. · Foster a positive and collaborative working environment. Qualifications and Skills: · Age: 30 to 35 years · Education: Bachelor's degree or diploma with relevant experience. · Experience: o Minimum of 3 years of experience in a similar administrative or front desk role, preferably within an NGO or Clinic or a dynamic office environment. o Experience with office management procedures and basic cash handling · Technical Skills: o Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). o Familiarity with office equipment (printers, scanners, projectors). o Basic knowledge of database management is a plus. · Soft Skills: o Excellent verbal and written communication skills in [mention relevant languages, e.g., English and local language]. o Strong organizational and time management skills with the ability to prioritize tasks. o High level of attention to detail and accuracy. o Proactive, resourceful, and able to work independently as well as part of a team. o Polite, professional, and friendly demeanor with excellent interpersonal skills. o Ability to handle sensitive information with discretion and maintain confidentiality. o Adaptability and willingness to take on new tasks as needed in a dynamic NGO setting. o Empathy and understanding of the NGO's mission and values.
