Job Description (JD) for a Pharma Warehouse Procurement Manager for a pharmaceutical distribution/ retail organization: Job Title: Procurement Manager Pharma Warehouse Department: Supply Chain / Procurement Location: Ekkatuthangal, Chennai Reports to: Director --- Job Purpose: To manage the procurement activities for pharmaceutical products ensuring optimal inventory levels, cost efficiency, quality compliance, and timely availability of stock at the warehouse level. Responsible for vendor management, purchase planning, regulatory compliance, and coordination with warehouse and finance teams. --- Key Responsibilities: 1. Procurement & Inventory Planning Forecast demand and plan procurement based on sales trends and warehouse consumption. Maintain optimal stock levels to avoid stock-outs and overstocking. Place timely purchase orders in alignment with demand and lead times. 2. Vendor Management Identify, evaluate, and negotiate with pharmaceutical suppliers and manufacturers. Maintain strong relationships with approved vendors and monitor performance. Ensure supplier compliance with drug license, regulatory standards, and quality norms. 3. Cost Control Negotiate prices and credit terms with vendors to ensure cost-effective purchases. Monitor market price trends and adjust procurement strategies accordingly. 4. Quality & Compliance Ensure procurement of drugs complies with legal and regulatory requirements (e.g., GMP, Drug Control Authority). Work with the quality assurance team to validate supplier certifications and documentation. 5. Coordination & Documentation Collaborate with warehouse, finance, and operations teams for smooth inward and GRN processes. Ensure accurate and timely documentation of purchase orders, invoices, and delivery challans. 6. MIS & Reporting Maintain procurement logs and provide regular reports on purchase efficiency, vendor performance, and stock turnover. Implement and manage procurement KPIs. --- Key Performance Indicators (KPIs): Vendor delivery lead time adherence Purchase cost savings achieved Stock availability rate (% of no-stock-outs) Procurement cycle time Inventory turnover ratio Number of non-compliance incidents --- Qualifications & Skills: Graduate/Postgraduate in Pharmacy, Supply Chain Management, or related field 5+ years of experience in pharmaceutical procurement or warehouse supply chain Knowledge of pharmaceutical regulations and procurement software (ERP/SAP preferred) Strong negotiation, analytical, and communication skills Attention to detail with a focus on compliance and cost-efficiency

Key Responsibilities: • Develop and implement business development strategies to expand the companys footprint in retail, hospital, and institutional segments. • Identify and evaluate new business opportunities, partnerships, and product lines to increase revenue streams. • Build and maintain strong relationships with key decision-makers, suppliers, manufacturers, and channel partners. • Conduct market research to track industry trends, competitor activities, and emerging opportunities. • Negotiate and finalise contracts with clients, vendors, and strategic partners. • Work closely with the sales, operations, and finance teams to ensure smooth execution of new business initiatives. • Lead presentations, proposals, and tenders for prospective clients. • Monitor business performance against set targets and take corrective actions when required. • Represent the company at industry events, exhibitions, and conferences to promote the brand. • Ensure compliance with all pharma regulatory requirements and company policies.
