To provide administrative support and assistance to the superior management, Monitor Maintain BMS system, Data Analytics and Reporting, Security and Access Control. Primary Responsibilities and Accountabilities: Prepares asset survey reports, data, and sheets for solving maintenance-related problems & daily/weekly/monthly inspections. Control Panels and DDC panels: Operation and Maintenance of HVAC control system. Fire Alarm System: Operation and Maintenance, Fire hydrant System, Sprinklers etc Access Control system, CCTV, Public Address System: Operation and Maintenance. Performs basic electrical installation. Requires to readily use temperature and relative humidity meters, data loggers, electrical volt, and amp meters. Assists other Maintenance team members when required. Operate and monitor the BMS system including CCTV and Alram systems daily. Report any abnormal readings or issues. Support in the execution of PPM tasks as per the schedules and frequencies by other trades. Submit the daily reports to the supervisor. Communicate to supervisors immediately in case of any major breakdown or Emergency tasks. Follow the safety regulations and procedures while performing maintenance work. Manage procurement processes in accordance with company requirements. Coordinate office desk arrangements and movements to provide appropriate space, equipment, and supplies for staff, partners, and visitors. Handle travel requests for national and international trips, including booking vehicles and accommodations, purchasing tickets. Manage payments for branding activities and other monthly regular expenses. Coordinate workshops, visitors, and other requested events. Prepare and coordinate office social activities, such as team building events, staff retreats, visits for sickness or funerals, and welcoming new-born babies. Monitor office stocks, equipment, assets, vehicles, and motorbikes in accordance with company policies. Collaborate with the Finance Function to code and conduct inventory counts twice a year or as required. Manage the assets register in collaboration with the IT Manager and project teams, including labelling all assets. Education/Experience: BE/BTech. A bachelors degree in business administration, office management, communications, or a related field is typically required. A minimum of 2 years of experience in administrative or BMS support roles is preferred. BMS Operation Experience, Knowledge of Building Codes and Regulations.

Address vendor performance issues and conduct regular reviews. Analyze spending patterns, identify cost-saving opportunities. Monitor industry trends, pricing, and emerging suppliers. Maintain and update vendor database, ensuring quality and cost-effective purchases. Collaborate with different teams and departments to provide support, ensure seamless coordination among teams for procurement needs and approvals. Issue POs, track deliveries, DC, invoice and resolve discrepancies with suppliers and internal stakeholders. Manage office supplies, maintenance services, and contracts with third-party service providers. Supervise security, housekeeping, and front-desk operations. Assist to Oversee office, facility management, support BMS team. assist to travel arrangements, accommodations, and logistics for employees as needed. Assist in organizing and coordinating events, meetings, and appointments for the team. Prepare meeting agendas, take minutes, and follow up on action items. Handle administrative documentation, including compliance and legal work. Maintain accurate and up-to-date records, files, and databases. Ensure proper filing and organization of documents, contracts, reports, and other paperwork. Timely preparation and submission of reports, Track expenses, process invoices, and maintain financial records. Ensure timely renewal of contracts and agreements related to office administration and procurement, ensure all procurement and administrative processes comply with company policies and industry regulations. Proficiency in MS Office (Excel, Word, PowerPoint) and procurement & admin management software. Ability to multitask and manage time effectively, hardworking, problem solving, Proactive, Collaborative, Adaptability and Flexibility . Good communication skills, including response time to emails and phone calls, clarity of communication, and effectiveness in conveying messages to relevant stakeholders. Skills & Qualifications: B.E, related field. Least 1+ years of experience in Admin & Procurement. Proficiency in MS Office (Excel, Word, PowerPoint) Procurement & Admin management software. Excellent interpersonal and communication skills, a team player.

Take creative help from team lead/Supervisor or fellow team mate as required. Maintain positive attitude even during period of difficult work. Provide regular work in progress update to team lead and production. Ensure all notes are addressed in an efficient and timely manner. Review all personal work and contributions to a combined file, always aiming to improve quality towards client requirement. Present work in dailies on a regular basis. Always participation in team meetings, production meetings as required. Always request time off an early/timely basis per HR and departments requirements .
