Main Purpose of Job
The Transportation Service and Scheduling Lead is the line manager for all frontline service and scheduling specialists. This role forms part of the Transportation Hub team, responsible for overall supervision of transportation scheduling and execution, transit tracking, and load completion activities.
The lead will perform supervisory functions around:
- Organizing trade customer appointments and scheduling of loads
- Ensuring adherence to route guide compliance
- Managing executional exceptions and change control
- Overseeing pickup readiness, in-transit tracking, and rescheduling of appointments
- Ensuring on-time delivery and closure of transportation cost-and-service-based activities for Nestl
This role balances operational oversight with personnel management, driving process adherence, training, issue escalation, cross-functional coordination, employee motivation, and when necessary, discipline.
Key Responsibilities
1. Pick-Up Management
- Ensure that trucks are allocated as per the defined schedule and customer requirements.
- Oversee readiness procedures to avoid delays in pickups.
- Validate transporter performance against agreed service levels.
- Approve exceptions and escalate major deviations.
- Coordinate with warehouse and dispatch teams for seamless pickup operations.
2. Load Scheduling
- Plan and schedule loads as per business requirements.
- Align load plans with route guide compliance and capacity utilization.
- Manage exceptions such as last-minute changes, cancellations, or rescheduling.
- Ensure effective communication with Customer Solution Analysts (CSA) and Scheduling Specialists for customer appointments.
- Monitor scheduling KPIs and drive improvements.
3. In-Transit Tracking
- Monitor live transit status of all scheduled loads.
- Track exceptions such as delays, diversions, or vehicle breakdowns.
- Proactively inform customers of expected delays and revised delivery timelines.
- Coordinate with transporters to implement corrective measures during disruptions.
- Ensure tracking visibility through systems like Transporeon and/or ITV.
4. Load Completion
- Ensure and monitor delivery of loads at customer points and resolve exceptions.
- Coordinate with distributors, CSA, and Scheduling Specialists to resolve delivery issues (e.g., stock, purchase orders, appointments).
- Approve service specialist actions related to customer returns and refusals.
- Collaborate with warehouse and sales teams to manage returns, refusals, and Proof of Delivery (POD) issues.
- Intimate customers in advance of delays and ensure final delivery.
- Resolve unloading issues at customer or Nestl sites.
- Capture POD confirmation in Transporeon and/or ITV.
5. Financial Approval
- Guard loads as per defined cluster and rank list.
- Ensure business share is maintained in compliance with the route guide.
- Approve tendering of loads in line with freight order quadrant guidelines.
- Maintain audit trail for all planning changes and charge-related exceptions.
- Approve TONU (Truck Ordered Not Used) and any additional charges (e.g., nuisance fees).
- Ensure documentation and trail for changes in system-suggested freight orders.
Performance Indicators
- On-time pick-up and delivery adherence.
- Compliance with load scheduling and route guide.
- Exception resolution within defined timelines.
- Accuracy of in-transit tracking updates.
- Proof of Delivery (POD) closure rate.
- Audit compliance and financial control adherence.
