Sales Coordinator/Tendering Expert (Female )

This profile outlines the key responsibilities, required skills, and qualifications for a Sales Coordinator/ Tendering Expert. This pivotal role supports the Sales team, ensures smooth operations of tenders, and contributes significantly to overall sales efficiency and customer satisfaction.

Role Summary

The Sales Coordinator is responsible for providing comprehensive administrative and coordination support to the Sales department. This individual acts as a critical link between the Sales team, internal departments (like Marketing, Operations, and Finance), and customers, ensuring seamless sales processes from lead management to order fulfillment and after-sales support.

The Tendering Expert is responsible for managing the end-to-end tender and bid process, from identifying relevant opportunities and conducting detailed analysis to coordinating the creation, submission, and follow-up of all technical and commercial proposals. This role ensures all bids are strategically aligned, legally compliant, financially viable, and compellingly presented to maximize the company's chances of winning contracts.

Key Responsibilities

* Sales Administration & Support:

* Provide administrative assistance to the Sales team, including scheduling meetings, preparing sales presentations, proposals, and contracts.

* Manage and coordinate the sales pipeline, ensuring timely follow-up on leads and opportunities, and assigning leads to the appropriate Account Managers.

* Assist in the planning and organizing of promotional events, conferences, and trade shows.

* Order and Data Management:

* Handle the accurate and timely processing of all sales orders, checking for correct pricing, discounts, and product information.

* Coordinate with logistics and operations to ensure timely delivery and inform clients of any unforeseen delays.

* Maintain and update the Customer Relationship Management (CRM) system (e.g., Salesforce, HubSpot) with accurate customer interaction records, sales activities, and data.

* Client Communication & Service:

* Serve as a primary point of contact for clients, promptly and professionally responding to inquiries, requests, and grievances.

* Provide pre-sale and after-sales support, resolving customer issues and escalating complex concerns to the relevant personnel.

* Reporting & Analysis:

* Generate and maintain sales reports, performance metrics, and dashboards for management, tracking key indicators like sales figures and target achievement.

* Assist in forecasting and analyzing sales data to identify trends and provide actionable insights for process improvement.

* Interdepartmental Coordination:

* Collaborate effectively with Marketing on lead generation and campaign execution.

* Liaise with Finance, Operations, and Logistics to ensure all sales-related activities are aligned and executed efficiently.

Proactively monitor government portals (e.g., GeM), industry publications, and client communications to identify relevant tender/bid opportunities (RFP, RFQ, ITT, EOI).
​Conduct thorough analysis of tender documents to understand client requirements, scope of work, technical specifications, commercial terms, and compliance prerequisites.​Lead the bid/no-bid decision process by performing comprehensive risk assessments (financial, legal, and operational) and developing initial strategic recommendations.​Proposal Development & Coordination:​Develop and formulate the overall bid strategy and compelling value proposition for the submission.​Serve as the central point of contact, coordinating cross-functional teams (Sales, Technical, Finance, Legal, Operations) to gather all necessary information, cost inputs, and supporting documentation.​Oversee the writing, editing, and formatting of all proposal documents, ensuring clarity, consistency, and strict compliance with client specifications and submission guidelines.​Compliance and Submission Management:​Ensure absolute compliance with all regulatory requirements, legal terms, and e-Tendering portal procedures (e-Bidding, Reverse Auctions).​Manage and track the entire tender timeline, strictly adhering to all submission deadlines.​Prepare, review, and approve the final submission package before delivery to the client.​Costing and Negotiation:​Collaborate with the Finance and Estimating teams to develop accurate and competitive cost estimations and pricing strategies.​Prepare and present detailed financial analyses and risk matrices for management review and approval.​Participate in pre-bid meetings, client clarification sessions, and contract negotiations to secure favorable terms.​Reporting and Improvement:​Maintain a comprehensive database of all tender activities, submissions, outcomes, and client feedback.​Analyze lost bids to understand competitive positioning and identify areas for process improvement, driving continuous enhancement of the tendering approach.

Required Skills and Qualifications

| Experience & Education | * * Minimum 1-2 years of proven experience in a Tendering, Bid Management, or Contracts role. * Bachelor's degree in Business Administration, Engineering, Finance, or a related field (Master’s/relevant certification is a plus). * Specialized experience in a condition monitoring instruments .
