Job Description

Key Roles & Responsibilities:

  • Handling Reservations
  • Manage room reservations through phone calls, emails, WhatsApp, OTA platforms (Booking.com, Agoda, MakeMyTrip, Goibibo, etc.).
  • Update availability, rates, and inventory across all channels.
  • Ensure accurate data entry in the PMS/booking system.
  • Guest Communication
  • Respond promptly to guest enquiries regarding room types, pricing, packages, facilities, policies, and promotions.
  • Provide professional and friendly customer service to ensure a positive booking experience.
  • Handle special requests and communicate them to relevant departments.
  • Coordination with Departments
  • Coordinate with Front Office, Housekeeping, Sales, and F&B for seamless guest check-ins, VIP arrivals, group bookings, and special arrangements.
  • Inform operations teams about daily arrivals, departures, and occupancy details.
  • Rate & Inventory Management
  • Monitor rates, occupancy, and room availability.
  • Work closely with Revenue/Sales team to optimise rates and close/open inventory as required.
  • Assist in implementing promotional offers and packages.
  • Maintaining Records & Reports
  • Maintain reservation logs, amendments, cancellations, and no-show reports.
  • Prepare daily reservation reports and forecasts (arrival list, rooming list, occupancy summary).
  • Upselling & Revenue Generation
  • Promote property facilities, upgrades, packages, and add-ons to maximise revenue.
  • Convert enquiries into confirmed bookings with high closing efficiency.
  • Handling Payments
  • Ensure advance payments, deposits, and invoices are collected as per company policy.
  • Share payment reminders and confirmations with guests and account teams.
  • Group Bookings
  • Assist in reserving rooms for corporate, wedding, event, and travel agent groups.
  • Prepare rooming lists and coordinate with Sales/Events team.
  • Complaint Handling
  • Address guest concerns prior to arrival regarding rates, booking mistakes, or facility information.
  • Escalate unresolved issues to the Reservation Manager/Front Office Manager.
  • OTA & Channel Management
  • Monitor OTA reviews, replies (if assigned), rate parity, and booking trends.
  • Report any technical issues on channel manager or PMS.
  • General Administration
  • Maintain confidentiality of guest information.
  • Follow all standard reservation SOPs, policies, and communication guidelines.
