Job Description

The Receptionist is the first point of contact for patients, visitors, and guests of the hospital. The role involves welcoming patients, assisting with registration, guiding them to the appropriate departments, managing inquiries, and ensuring a smooth patient experience while maintaining confidentiality and professionalism.

Duties & Responsibilities:

Patient & Visitor Management

  • Greet and welcome patients, attendants, and visitors courteously.
  • Assist patients in filling out registration forms and explain admission/discharge procedures.
  • Direct patients to the appropriate department, doctor, or service area.
  • Maintain a patient-friendly atmosphere at the front desk.

Communication & Coordination

  • Answer phone calls promptly and transfer them to the concerned department/person.
  • Provide accurate information about hospital services, doctors’ availability, OPD timings, and consultation fees.
  • Coordinate with nursing, billing, diagnostic, and other departments to ensure smooth patient flow.

Administrative Support

  • Maintain patient appointment schedules and manage walk-ins.
  • Update patient information accurately in the hospital information system.
  • Handle billing queries and guide patients to the billing counter when required.
  • Keep records of visitors, vendors, and external service providers.

Customer Care

  • Listen to patient complaints/concerns and escalate them to the concerned authority.
  • Provide information on insurance, payment procedures, and support documentation if needed.
  • Assist elderly, disabled, and emergency patients with priority support.

General Office Management

  • Maintain the cleanliness and professional look of the reception area.
  • Ensure that brochures, hospital guides, and health awareness materials are available at the desk.
  • Handle courier, letters, and official documents received at the front desk.

Skills & Competencies:

  • Pleasant personality with good communication and interpersonal skills.
  • Proficiency in Tamil and English; knowledge of Hindi or other regional languages is an advantage.
  • Basic computer skills (MS Office, email, hospital management software).
  • Customer service orientation with patience and empathy.
  • Ability to multitask and work under pressure in a hospital environment.
  • Confidentiality and professionalism in handling sensitive information.

Qualifications & Experience:

  • Minimum: Graduate
  • Prior experience as a receptionist/front office executive in a hospital or healthcare setup is preferred.
  • Freshers with good communication skills may also be considered.

  • Patient satisfaction score.
  • Accuracy of patient registration data.
  • Average waiting time management.
  • Responsiveness to calls/inquiries.
  • Professional conduct and grooming standards.
