Purchase Assistant

Job Summary:

The Purchase Assistant is responsible for supporting day-to-day Purchase activities, coordinating with suppliers, processing purchase orders, negotiating commercial terms, and ensuring the timely availability of materials at competitive costs.

Educational Qualifications:

• Graduation in agriculture, food science will be an added advantage or any relevant Bachelor's preferred.

Required Skills:

• Basic knowledge of purchase and procurement processes.
• Proficiency in MS Excel and ERP/Inventory Management Software.
• Good negotiation, numerical, analytical, and communication skills.
• Strong coordination and follow-up abilities.
• High attention to detail and documentation accuracy.

Key Responsibilities:

1. Prepare and process purchase orders (POs) based on approved material requirements and customer orders.
2. Obtain supplier quotations, compare prices, verify Proforma Invoices (PIs), and ensure accuracy of commercial terms. 3. Negotiate with suppliers on pricing, payment terms, delivery schedules, and commercial conditions to ensure cost-effective procurement. 4. Coordinate with suppliers regarding order confirmations, lead times, dispatch schedules, and delivery status. 5. Monitor purchase orders and follow up with suppliers to ensure timely delivery of materials. 6. Maintain purchase records, supplier details, purchase orders, invoices, delivery notes, GRNs, and related documents. 7. Verify supplier invoices against purchase orders and delivery documents and coordinate to resolve discrepancies. 8. Coordinate with Warehouse, Sales, Finance, Quality, and Supply chain team to understand material requirements and procurement schedules. 9. Monitor stock requirements, coordinate with the warehouse team, and initiate purchase requests to avoid stockouts or excess inventory. 10. Coordinate with suppliers to resolve pricing, quantity, billing, debit note, and credit note discrepancies. 11. Assist in identifying, evaluating, and onboarding suppliers while maintaining effective vendor relationships. 12. Maintain purchase trackers, update procurement records, and prepare regular reports on order status and pending deliveries
