Job Description

Key responsibilities-

  1. Procure-to-Pay Execution (Packaging Materials):

    • Review Purchase Requisitions generated from the material plan and float RFQs to approved packaging suppliers.
    • Prepare comparative quote statements and negotiate prices within delegated approval guidelines.
    • Create Purchase Orders and Spot POs in SAP, and release call-offs against Outline Agreements.
    • Create, maintain and renew Outline Agreements so that prices, validity and quantities in SAP are always current.
    • Manage approval workflows for Purchase Requisitions, Purchase Orders and Outline Agreements as per the Delegation of Authority.
    • Follow the Procurement SOP for all packaging material purchases and maintain a complete audit trail.
  2. Sourcing Support and Cost Management:

    • Support the Category Lead in vendor development identifying, evaluating and onboarding new and alternate suppliers to reduce single-source dependence.
    • Track key cost drivers such as polymer (HDPE, PP, PET) prices, kraft paper and board, aluminium foil and freight, and apply agreed index-linked price-variation formulas.
    • Maintain price history and benchmarks; flag price variances against budget and contract terms.
    • Contribute cost-reduction ideas through specification rationalisation, standardisation of pack sizes and components, and lightweighting, in coordination with Packaging Development, R&D and QA.
  3. Supplier Coordination and Multi-Plant Supply:

    • Follow up diligently with suppliers to ensure on-time-in-full (OTIF) delivery to each formulation plant as per the production plan.
    • Secure supplier capacity ahead of peak seasons and manage urgent requirements without compromising process compliance.
    • Coordinate timely vendor payments and vendor ledger reconciliations, and resolve disputes.
    • Resolve supplier delivery, quality and documentation issues, including rejections, replacements and debit notes.
    • Maintain supplier performance data (delivery, quality, responsiveness) for periodic vendor rating.
  4. Artwork, Quality and Regulatory Compliance:

    • Coordinate with Regulatory, Marketing and QA to ensure printed packaging (labels, leaflets, cartons, pouches) is ordered only against the latest approved artwork, consistent with CIB&RC-approved label and leaflet content.
    • Manage artwork change-overs with suppliers release of new artwork, proof approvals and cut-off of old stock — to prevent printing errors and obsolete stock.
    • Work with QA to ensure packaging meets agreed specifications (dimensions, weight, chemical compatibility, leak and drop performance) and that only approved suppliers are used.
    • Ensure supplier compliance with applicable requirements, including Plastic Waste Management / EPR obligations and, for export packs, UN-certified packaging for dangerous goods where required.
  5. Inventory, Planning and Wastage Control:

    • Align with the Integrated Planning team on packaging requirements, lead times, MOQs and safety stock for each plant.
    • Monitor packaging stock, open orders and slow-moving / non-moving items; raise shortage and excess risks early.
    • Minimise wastage and obsolescence of printed and SKU-specific packaging by matching order quantities to forecasts and planned artwork changes.
  6. MIS and Process Discipline:

    • Maintain accurate SAP master data (material, vendor, purchasing info records, Outline Agreements).
    • Prepare periodic MIS on open POs, OTIF, price variance, savings, vendor payment status and stock risks.
    • Support internal and statutory audits with complete and timely documentation.

Key Performance Indicators-

  • OTIF delivery of packaging materials to plants, with zero production stoppages due to packaging shortage
  • PR-to-PO cycle time and Outline Agreement coverage of recurring packaging spend
  • Purchase price variance versus budget / price index, and cost savings delivered
  • Supplier quality: rejection rate and timely closure of quality issues
  • Packaging obsolescence and write-offs, especially of printed material
  • Compliance with the Procurement SOP, audit observations closed, and accuracy of SAP master data
