Job Description

Payroll and Invoicing Specialist

Responsibilities
  • Efficiently manage the full cycle of payroll processing for US employees across multiple states to guarantee precise and timely payments.
  • Handle all aspects of invoicing, including the creation, distribution, and management of invoices, ensuring accuracy and compliance with financial practices.
  • Update and maintain payroll and invoicing records, including but not limited to, employee changes, new hires, terminations, wage adjustments, and client billing details.
  • Ensure adherence to all applicable US federal, state, and local tax regulations; calculate and process necessary payroll taxes including income taxes, Social Security, and Medicare.
  • Stay current with changes in tax legislation and financial regulations, proactively integrating these updates into our payroll and invoicing systems.
  • Generate and distribute accurate payroll and invoicing reports on a regular schedule.
  • Conduct regular audits and reconciliations of payroll and invoicing data to maintain compliance with legal standards and company policies.
  • Provide necessary payroll and invoicing documentation and data during year-end audits for IRS reporting and financial compliance.
  • Serve as the primary contact for employees and clients for any payroll or invoicing related questions or issues, ensuring a high level of customer service.
  • Proactively identify and implement process improvements to enhance payroll and invoicing efficiency and accuracy, including automation and workflow streamlining.
  • Maintain strict confidentiality regarding all payroll, invoicing, and personal employee or client information.
  • Remain informed about changes in employment and financial laws relevant to payroll and invoicing, ensuring organizational compliance.
  • Ensure all payroll and invoicing-related documents and records are managed in accordance with company policies and legal requirements.
  • Assist in the preparation and calculation of reports on compensation, including bonuses and incentives.
  • Respond to ad-hoc payroll and invoicing queries and manage additional tasks as required.
Skills and Qualifications
  • At least four years of demonstrated experience in payroll processing and invoicing for a multi-state US workforce.
  • In-depth knowledge of US payroll tax regulations and financial invoicing practices at federal, state, and local levels.
  • Mandatory hands-on experience with QuickBooks

    for payroll and invoicing functions.
  • Proficiency in other payroll systems such as ADP, Paychex, Workday, or similar tools is a strong plus.
  • Capable of processing complex payroll and financial data accurately and efficiently while ensuring confidentiality.
  • Strong communication skills to effectively manage employee and client inquiries and communicate with internal teams.
  • Ability to prioritize tasks effectively and meet tight deadlines in a fast-paced environment.
